Position Overview

As a Clerical Officer, you’ll be the first point of contact for patients, families, and healthcare professionals. You’ll manage communications, schedule appointments, organize resources, and support the Audiology team with essential administrative tasks. Your work will directly impact patient experience and departmental efficiency.

This is a hands-on role that requires professionalism, empathy, and a strong sense of responsibility.

  • DBS Requirement: Standard DBS check (£26.90 deducted from first salary) + annual update service (£16)
Key Responsibilities

Reception & Communication

  • Handle telephone, email, and text enquiries from patients and healthcare professionals
  • Support face-to-face interactions, including with patients who are deaf or hard of hearing
  • Use Relay services to communicate with deaf patients when required
  • Type clinic reports and letters to support Audiologists

Patient Care & Support

  • Maintain confidentiality of patient information
  • Organize patient transport, including ambulances and taxis
  • Issue replacement batteries and assist patients during incidental contacts
  • Ensure patient notes are available for clinics

Scheduling & Coordination

  • Book and reschedule clinic appointments to optimize workload
  • Organize battery distribution to local centers, considering stock levels
  • Coordinate hearing aid repairs and earmould shipments with manufacturers

Resource Management

  • Ensure safe and efficient use of equipment and consumables
  • Monitor and order departmental supplies
  • Support the efficient management of departmental resources

General Administration

  • Assist with departmental upkeep and logistics
  • Contribute to health and safety checks and equipment maintenance
  • Collaborate with colleagues to ensure smooth day-to-day operations
