Job Summary
An exciting opportunity has arisen for a business support administrator to join a pilot project launching a centralised administration hub coordinating physical health monitoring activities in North Devon. The role involves holding central records of all patients requiring physical health monitoring, booking appointments, managing DNAs and liaising with teams across the directorate. It offers hybrid working four days a week (0.8 FTE) and is recruiting two applicants.
Responsibilities
- Booking initial appointment slots within the clinic or community setting
- Setting recalls to book follow‑up appointments
- Managing cancellations and non‑attendance
- Handling queries from patients and referrers
About You
You will have experience in a team providing administrative support in an office environment, with excellent verbal and written communication skills. You should be comfortable with Microsoft Office, electronic records, and able to give non‑clinical information and advice to patients. You will manage your workload independently, prioritising tasks and working under pressure.
Qualifications – Essential
- Business Administration Level 3 / T Level qualification in Management and Administration, or equivalent experience
- GCSE English or equivalent
- Evidence of continuing professional and personal development
Qualifications – Desirable
- ICDL (International Computer Driving License) or equivalent experience
Experience – Essential
- Fluency in spoken and written English with confidence and professionalism
- Good numeracy and literacy skills
- Strong interpersonal and communication skills, capable of dealing with people at all levels
- Intermediate IT skills in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Effective organisational skills and ability to prioritise workload in a demanding environment
- Working knowledge of diary management, appointment setting and meeting support
- Experience with general office routine and filing systems
- Experience of creating electronic records and filing systems
- Understanding of confidentiality and respect for privacy in the workplace
- Capability to handle distressed individuals calmly, compassionately and confidently
- Ability to exercise initiative and work without direct supervision on a day‑to‑day basis
