Job Purpose
To provide high-quality bid coordination and administrative support to bid teams, ensuring timely and compliant delivery of quotes and proposals. The role involves managing bid documentation, supporting governance processes, and facilitating collaboration across multiple stakeholders to deliver winning bids.
Key Responsibilities
- Support the end-to-end bid process, including capturing requirements, developing bid plans and timelines.
- Collate and manage all bid documentation and inputs (technical, commercial, pricing, compliance), ensuring version control and audit trail.
- Liaise with internal stakeholders (Opportunity Owner, engineering, commercial, supply chain, legal) to gather content, data, and approvals.
- Coordinate and support external Bid Managers supporting Major Pursuits/Bids.
- Prepare and format bid documents, ensuring high-quality written content and compliance with client requirements.
- Schedule and coordinate meetings (kick-off, storyboarding, risk reviews, pricing/commercials, contract/legal reviews) and capture actions.
- Maintain bid trackers, dashboards, and status reports for senior management.
- Maintain and develop a bid library of standard material, templates, and reusable content.
- Support post-submission activities, including clarifications, revision management, and lessons learned capture.
- Acts as Social Value proponent across bids, bidding teams and central functions, coordinating inputs and associated costs. Coordinates Social Value content across bids.
- Produce daily, weekly, and monthly team and management reports as required, including Pipeline and Key Pursuits Tracker.
- Ensure adherence to bid governance and review processes.
- Undertake any other duties as required to support proposals, sales and business development teams.
- A foundational understanding of bidding best practice and UK public sector procurement processes.
- Excellent organisational and time management skills to manage multiple activities and deadlines.
- High attention to detail with strong proofreading and document formatting skills.
- Strong written and verbal communication skills; ability to present information clearly and concisely.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with SharePoint and document control tools.
- Ability to coordinate tasks and individuals across cross-functional and dispersed teams.
- Problem-solving skills and ability to work under pressure in a dynamic environment.
- Commercial awareness advantageous.
- Ability to interpret technical information and liaise effectively with subject matter experts.
Experience
- 2+ years’ experience in bid/proposals coordination, preferably within Defence, National Security, or Central Government.
- Experience supporting bids involving multiple technical contributors and tight deadlines.
- Membership with the Association of Proposal Management Professionals (APMP).
- Experience in Defence procurement or working with military customers.
- Familiarity with IFS and AI tools such as Copilot.
- Understanding of export compliance, security classifications, or controlled goods.
