Assistant / PA to Founder - Volunteer

Join to apply for the Assistant / PA to Founder - Volunteer role at Qisetna.

We are seeking an Assistant/Junior PA who will support our team and be the right hand to the Founder. Due to the importance of this role and the need to train the volunteer, we require a minimum of six months' commitment.

You will be contributing to the implementation of a creative program of activities, films and events that educate audiences on the cultural heritage of displaced communities, particularly the Syrian diaspora. Our organization received an award for excellence and is an extraordinary example of an archive preserving the voices of displaced and fractured communities for the future, acting as an engine of community resilience in the present. This archive will become an outstanding research tool for the future, and is succeeding in its principal short-term goal of community building.

What are we looking for?
  • Administrative experience – You will be highly organized, with strong attention to detail.
  • Systems – You are a quick learner and will be able to use your initiative to improve systems in place.
  • Communication – You’ll have a warm and professional style and will be good at talking to people, listening to and meeting their needs, with strong writing skills.
  • IT literacy and online presence – You will be comfortable using different systems such as Gmail and Excel.
  • A strong instinct for digital communications – You will be social media savvy with experience supporting an organization’s work.
  • Organisation and prioritisation – You will be comfortable working in a busy environment, prioritising workload and communicating shifting priorities.
  • Problem‑solving skills – You’ll work with the team to find solutions, reach out to colleagues when needed.
What will you be doing?
  • General administration, diary management, coordination of meetings.
  • Lead constructive dialogues with boards and C‑suite executives.
  • Gatekeeper for departments.
  • Drafting and editing funding proposals and reports.
  • Weekly timesheets and team tracking; keep us organized.
  • Org chart creation.
Supporting the founder / CEO on project delivery
  • Calendar management/project: booking travel, exhibitions, promotion management for the event.
  • Tech support: behind the scenes help on Zoom training events and workshops.
  • ESG skills.
  • Support with monitoring and evaluation systems and preparing funding reports or future proposals.
