Job Title: Accounts Payable Assistant

Location: Middlesbrough College Main Campus, TS2 1AD

Reporting to: Purchasing Team Leader

Salary: £23,555 - £27,604 per annum

Annual Leave: 30 days per annum plus bank holidays

Contractual hours: 37 hours per week

Basis: Full time, Permanent

Join Our Team

We are seeking a Purchasing Support Assistant to join our Finance team. In this role, you will support the Purchasing Team with day-to-day operations, ensuring the efficient processing of purchase ledger invoices and the accurate raising of purchase orders. You will also be responsible for reconciling supplier statements, managing account queries and providing general administrative support across the College and its subsidiaries. The ideal candidate will have strong attention to detail, excellent organisational skills and experience in purchasing or finance-related roles, with proficiency in Microsoft Office applications.

What You’ll Be Doing
  • Process and accurately record supplier invoices, matching to purchase orders, including the correct recording of VAT.
  • Process and batch non purchase order invoices due for payment and circulate for authorisation in accordance with the College Financial Regulations.
  • Provide information on non‑pay budgets when requested by budget holders.
  • Be a point of contact for both internal and external purchasing and supplier queries.
  • Aid in the processing and the accurate recording of purchase orders through the e‑Request electronic purchase ordering system, whilst ensuring budgetary control is maintained.
  • Aid in the maintenance of goods/services received notification information and query outstanding invoices with colleagues to confirm delivery of goods/services.
  • Aid in the completion of monthly supplier statement reconciliations to ensure accurate records are maintained.

  • Grade 4/C or above in Maths and English or equivalent.
  • A commitment to undertake any mandatory training relevant to the role.
  • A clear understanding of the purchasing function and investigative abilities.
  • Ability to prioritise workloads and complete tasks to strict deadlines.
  • Knowledge of the purchasing function and finance systems.
