The Project Governance IT Planning, Reporting & Administration team is part of the Technology department. The Head of IT Planning, Reporting & Administration is accountable for the planning and delivery of MUFG Bank London Branch’s portfolio of systems investment projects.

MAIN PURPOSE OF THE ROLE
Reporting into the Head of Project Governance, support the Head of IT Planning, Reporting & Administration team to:

Responsibilities
  • Own & Drive portfolio and project reporting, e.g. monthly portfolio reporting pack from Planview updates; minutes and Management Information tailored for the target audience.
  • Oversee correct accounting practices for MUFG Bank projects and delivery of key year/month end deliverables.
  • Engage with IT Planning, Reporting & Administration; Central PMO; EMEA Region Executive Reporting; and Bank Head Office GITD teams to ensure investment portfolios are managed and overseen consistently.
  • Maintain the reliability of the “golden source” PPM toolset and foster strong relationships with centralised functions in Technology and Central PMO.
Key Responsibilities
  • Own & Drive Portfolio & Project Reporting: maintain Investment Committee Terms of Reference; annual calendar; publish dates and agendas; draft materials; circulate meeting materials; produce auditable minutes for controls & SoX.
  • Support escalation items to EDF agenda; share portfolio risks/issues; ensure timely updates.
  • Deliver Risk Reporting into standing committees; attend Risk Appetite working group; align EWI KRI’s with portfolio controls; monthly Top Risks reporting.
  • Oversee JPM meeting operations; improve report submissions; lead JPM operations and secretariat activities.
  • Identify continuous improvement areas within JPM processes; ensure high-quality submissions and bi-weekly health checks for all MUFG Bank projects.
  • Provide quality assurance during annual planning; create reporting requirements to support Investco reporting.
Oversee Correct Accounting Practices for MUFG Bank Projects
  • Deliver compliant control and oversight of investment project financials, including executive reporting and monthly baselines.
  • Calculate manpower costs; update actuals and re-forecast; manage financial queries; present at quarterly forums.
  • Refresh and publish regular portfolio resource and financials reports aligned to the Finance golden source; ensure no data breaks.
  • Ensure reporting is consistent with a single golden source; coordinate with Finance on policy-aligned reporting.
  • Hold project managers & line managers to account for accurate data; collaborate on data management (SharePoint, data uploads to Tokyo); communicate complex financial requirements clearly.
  • Model run rates, cost to complete, capacity; identify variances; present to CIO and senior management; secure PPM data model against cross-entity contamination.
  • Coordinate with Finance on recharge processes; explore process improvements; prepare monthly investment status reports for senior stakeholders.
  • Annual depreciation budgeting for MUFG Bank (EMEA).
Work Experience

Essential:

  • Minimum 8 years in executive reporting and financial process delivery/oversight.
  • Experience with project cost categorisation and broader financial reporting impacts.
  • Planview or similar PPM tool experience; end-user familiarity; ability to extract/manipulate large datasets.
  • Advanced Excel; Oracle Financials or equivalent (Payables); Planview and Power BI experience.
  • MS Office suite expertise; SharePoint knowledge.
  • Experience with Waterfall project delivery lifecycle; RAID/log management; governance adherence; minutes management; project books/records.
  • Budget management experience and cross-program financial structuring.
