Senior Executive Assistant

The Client
Our client is a globally connected Founder with a high-profile network of business, philanthropic and cultural relationships. The Founder leads multiple initiatives across industries and geographies and requires a highly seasoned, discreet, and strategically minded right-hand partner to coordinate personal, professional, and network-facing priorities.

The Opportunity
This is a rare, high-impact role that goes well beyond traditional administrative support. The Senior Executive Assistant will act as a trusted proxy and strategic coordinator for the Founder — managing a complex, fast-moving calendar, orchestrating luxury travel across multiple time zones, overseeing logistics for exclusive events and convenings, and stewarding relationships with leaders and influencers worldwide. The role requires superb judgment, exceptional organizational rigor, and the ability to translate the Founder’s vision into executable priorities and measurable outcomes.

The Position

Key Responsibilities

  • Operational & Strategic Support — Serve as the Founder’s right hand: manage heavy, dynamic calendar demands; translate vision into prioritized, actionable plans; track key commitments, projects and philanthropic initiatives; capture notes and ensure follow-through on action items.
  • Coordination & Execution — Coordinate initiatives across internal teams, advisors and external partners to ensure alignment and timely execution; act as a clear communicator and accountable owner for deliverables.
  • Travel & Logistics Management — Plan and manage high-touch luxury travel (domestic and international); prepare detailed itineraries, briefing materials and background notes; support the Founder on 25–50% of trips to ensure purposeful, flawless execution.
  • Internal Team Leadership — Communicate expectations to internal staff and vendors; build scalable processes and operational workflows to manage complex responsibilities and ensure peak team performance.
  • Event & Convening Support — Work alongside the Director of Strategic Engagement to plan and run exclusive gatherings; coordinate invitations, guest logistics and post-event follow-up with an emphasis on operational excellence and guest experience.
  • Relationship Stewardship — Craft thoughtful, high-quality correspondence and manage relationships with the Founder’s network of leaders, influencers, and long-standing contacts; ensure contacts feel engaged and valued.
  • Confidentiality & Professionalism — Maintain the highest standards of discretion, professionalism and judgement in all internal and external interactions.
The Ideal Candidate

Qualifications & Experience:

  • Minimum 10 years’ senior executive assistance experience supporting UHNW individuals, founders, or within a Family Office environment.
  • Proven Family Office experience is required.
  • Exceptional project and program management skills; able to manage multiple high-priority initiatives simultaneously and deliver measurable results.
  • Demonstrated expertise in luxury travel planning, complex itineraries and high-profile event execution.
  • Outstanding written and verbal communication skills, including experience drafting correspondence and briefing materials for senior stakeholders.
  • High emotional intelligence, strong relationship stewardship, and the ability to represent the Founder with polish and tact.
  • Impeccable discretion, integrity, and a demonstrated track record of handling highly confidential matters.
  • Comfortable working across time zones and operating in a fast-paced, ambiguous global environment.
