Are you looking for your first step into a varied, fast‑paced career where no two days are the same? We are a family‑run training organisation looking for someone who has recently left education to join our friendly team. You will be a motivated and hands‑on team member who will learn everything from general admin, sales and marketing, through to training support and HR admin tasks. You will support different departments within the organisation, training will be provided, and you will receive a mentor and will have the opportunity to work towards a Modern Apprenticeship in Business and Administration in Year 1. This is an evolving document as the job role will be adjusted to meet the company’s needs.
Website Maintenance
- Use 1&1 IONOS
- Update the website with new course dates/information
- Create new webpages if required
- Distribute web enquiries to the relevant department
Social Media
- Create eye‑catching social media images through Canva
- Post promotional information on Facebook, Instagram, Twitter and LinkedIn
- Create monthly Facebook Ads through Meta Business Suite and monitor spend to meet budget
- Produce a strategic annual social media plan
- Use social media analytic tools to create monthly reports
Google
- Update Google Business Profile if required
- Use Google Analytics to create monthly website reports
Promotional Materials
- Create and update promotional flyers, e‑brochures and magazine advertisements on Canva
- Use Flipsnack to convert PDF e‑brochures created on Canva into digital flipbooks
- Save the most up‑to‑date versions of promotional materials to SharePoint
- Organise the printing of promotional materials
Mailings
- Create eye‑catching and informative mailers via MailChimp
- Send mailers to the company’s four sector‑specific mailing lists
- Use campaign statistics to create monthly mailer reports
- Produce a strategic annual mailer plan
General Marketing Duties
- Create monthly reports on the above topics, provide own feedback and opinions and strategies for the future
- Monthly meetings with General Manager & Business Development Team
- Plan and execute an extensive Scottish Apprenticeship Week promotional schedule, including mailers, social media content, collating client testimonials, and organising events
- Collect and collate feedback to be used as testimonials as well as evidence for Skills Development Scotland
Awarding Body Administration
- Routine client/customer correspondence
- Create courses and set them up on the Awarding Body Portal
- Maintain an up‑to‑date spreadsheet detailing the bookings for each course
- Send course dates, times and joining instructions to clients
- Create and send course meeting requests with the relevant information
- Obtain client invoicing information
- Provide clients with the essential materials for their courses
- Provide clients with access to the relevant training platform, e.g. Zoom
- Obtain the required information about the delegates to adhere to the Awarding Body’s registration process, e.g. PAM031, photo and proof of ID
- Register the delegates with their information on the Awarding Body Portal
- Create and maintain accurate attendance records for all courses
- Create Microsoft Forms files for all course on‑programme questions
- Send out on‑programme questions to delegates
- Monitor responses from on‑programme questions
- Send completed on‑programme questions to be marked
- Generate certificates for delegates and securely store marking sheets
- Send certificates to delegates and their company contact
- Create a Microsoft Forms file for delegates to complete an evaluation
- Send out evaluation forms to delegates
- Monitor responses from evaluation form
- Evaluate and summarise the evaluation results to create a document detailing the received information
Invoicing & Purchase Order Numbers
- Transfer information from invoice requests onto an invoice document
- Maintain a consecutive and organised invoice numbering system
- Maintain an up‑to‑date spreadsheet detailing all invoice information each month
- Send clients their invoice/credit invoice
- Raise credit invoices when required with accurate information
- Communicate with colleagues to ensure all information is correct
- Store invoices on SharePoint
- Raise Purchase Order Numbers for transactions
- Communicate with Finance Manager to request payments to be made
- Maintain a consecutive and organised Purchase Order numbering system
- Maintain an up‑to‑date spreadsheet detailing all Purchase Order information each month
- Correspond with ILM trainer colleagues to provide Purchase Order Numbers each month for their registrations
- Store Purchase Order Numbers on SharePoint
General Administration
- Routine filing of company paperwork
- Routine client/customer correspondence
- Archiving files and paperwork in line with retention timescales
- Update PowerPoint presentations
- Transfer handwritten information to a digital file
- Create questionnaires, considering the topic of the survey and the audience
- Send questionnaires to a relevant audience
- Monitor questionnaire results
- Collate results to produce informative summary reports in different formats, e.g. written, graphs, tables, images, etc.
- Transfer information from old documents onto new updated documents
Skills & Learning Outcomes
- You will gain skills and experience in office administration, HR administration, sales and marketing functions and training co‑ordinator responsibilities.
- You will work towards a Business and Administration SVQ with support from a mentor and an experienced SVQ Assessor.
- You will learn about the importance of communication with different departments to support various areas of the business.
