Overview

Vacancy Name: Executive Assistant

Employment Type: Permanent

Role Details: The Executive Assistant plays a vital role in supporting the CEO and Director of People at Ki. The Executive Assistant will act as a key partner to the CEO and Director of People, ensuring their time and priorities align with strategic objectives. They will provide seamless support for diary, communications, and project management while acting as a trusted liaison with senior stakeholders. To excel in this role, the Executive Assistant must have a keen interest in our business and the strategic objectives we aim to achieve. They will play a pivotal role in supporting our team management and ensuring that all dependent activities are completed to a high standard, in line with stakeholder expectations and company values.

What you will be doing
  • Diary Organisation: Strategically manage the CEO and Director of People’s complex calendar and anticipating needs; manage highly complex scheduling across business, personal, and global time zones; serve as a strategic advisor on diary management; build relationships with senior stakeholders; anticipate long-term scheduling impacts; provide high-level diary oversight for the Executive Committee; prioritise critical meetings and plan travel with long-term alignment; provide advanced diary support to EMT and EC in the absence of other EAs.
  • Administration & Communication: Develop plans for deadlines and regulatory reporting; lead creation of reports, presentations, and strategic documents; handle high-stakes communications with diplomacy and discretion; screen emails and calls; manage complex email workflows; build external networks; assist with quarter-end processes; oversee travel and logistics; oversee expense management for the EC; source Management Information; mentor EA network; organise team events and larger company-wide events; support INED/Chairs of Boards with travel and logistics when needed; provide cross-team support including minute-taking; engage with Investors & Lloyd’s Managing Agents; perform other duties as required.
  • Project Management: Take ownership of high-profile, cross-functional projects; manage the corporate calendar; monitor and manage action items and email communications for the CEO and Director of People.
