- Use approved templates while applying professional judgment
- Keep conversations moving forward with a clearCTA to a meeting
- Flag priority emails, leads, and partnership opportunities
Calendar & Appointment Management (Critical)
- Manage scheduling throughGoHighLevel calendar
- Confirm all appointments(email, text, or call as needed)
- Send reminders and handle rescheduling
- Monitor calendar daily for conflicts or gaps
- Track no-shows and ensure proper follow-up
- Ensure no missed, double-booked, or unconfirmed meetings
Calls & Appointment Setting
- Call business partners, clients, and leads as needed
- Set and confirm appointments directly in GoHighLevel
- Follow up when email or LinkedIn outreach is not sufficient
- Leave professional voicemails and document outcomes
Travel & Coverage Support
When the executive is traveling:
- Closely monitor inboxes and LinkedIn
- Confirm and re-confirm appointments
- Handle scheduling changes and communications
- Act as the primary point of contact
- Ensure nothing falls through the cracks
GoHighLevel Management
- Manage the Conversations inbox
- Update pipelines and contact stages
- Add notes after meaningful interactions
- Track follow-ups and confirmations
- Maintain GoHighLevel as thesingle source of truth

Ideal Candidate
- Prior experience as an Executive Assistant or senior administrative professional
- Excellent written and spoken English
- Comfortable making professional phone calls on behalf of an executive
- Highly organized, proactive, and discreet
- Strong judgment and prioritization skills
- Confident using CRMs and scheduling tools
Bonus (not required):
- Experience supporting entrepreneurs, speakers, or health professionals
- Event or travel coordination experience
