You will be part of the commercial team that supports Healthcare 21 UK with contract, pricing, and quotation administration in line with commercial frameworks supplied by the NHS. This role will manage all tender opportunities from sales cycle through to post‑award handover. You’ll ensure pricing is current, support quotations, and analyse business needs to provide actionable insights across Healthcare 21 UK and Xograph.

The role requires building strong relationships with internal and external partners, identifying business opportunities, and liaising with customers, managers, and other departments.

This is an excellent opportunity to take ownership of this role and help ensure Healthcare 21 remains on customer pricing frameworks, securing the future of the company.

The key responsibility of this role is coordinating the end‑to‑end tender submission process, ensuring all submissions are completed accurately and on time. This will involve developing and managing a detailed tender timeline, outlining key milestones and deadlines by:

Documentation and Compliance:

Review and interpret tender documents, specifications, and requirements to ensure that submissions are compliant and meet client needs.

Prepare and compile all necessary documentation for tender submissions, including financial statements, technical proposals, company credentials, and other supporting documents.

Ensure all tender documentation is accurately completed, formatted correctly using the most current documentation and is submitted within the required timeframes.

Liaise with suppliers as required to obtain necessary documentation and ensure compliance with tender requirements.

Internal Collaboration:

Consult with internal departments, including sales, finance, legal, and technical teams, to gather necessary information and documentation for tender submissions.

Coordinate with project managers and subject matter experts to develop compelling and competitive proposals.

Facilitate internal meetings and discussions to ensure alignment and clarity on tender requirements and deliverables.

Ensure that all tender documents are reviewed and approved by the relevant stakeholders before submission.

Database Management:

Maintain a comprehensive and up‑to‑date database of all tender opportunities, submissions, and outcomes.

Track and monitor the progress of tender submissions, including deadlines, status updates, and feedback from clients.

Generate regular reports on tender activities, including win/loss analysis and lessons learned.

Market Research and Opportunity Identification:

Monitor various channels, including tender portals, industry publications, and networking events, to identify new tender opportunities.

Conduct market research to stay informed about industry trends, competitor activities, and client needs.

Proactively inform relevant stakeholders about new tender opportunities and coordinate the decision‑making process for tender submissions.

Meetings and Negotiations:

Coordinate and participate in tender briefings, meetings, and negotiations with clients and stakeholders.

Prepare and deliver presentations on tender submissions and progress updates to senior management and other stakeholders.

Support the negotiation process by providing accurate and timely information and documentation.

Contribute to continuous improvement initiatives to enhance the efficiency and effectiveness of the tendering process.

Identify and implement best practices for tender management and submission.

Provide feedback and recommendations to improve the quality and competitiveness of future tender submissions.

Stay up to date with changes in procurement legislation and industry best practices.

Post Award Support

Support the transition from tender award to contract delivery, ensuring all contractual obligations are understood and met by relevant teams.

Maintain up‑to‑date records of pricing agreements, discounts, and special terms within the tender database or relevant systems.

Leading and managing all aspects of pricing governance and administration, ensuring consistency, accuracy, and compliance across contracts and quotations.

Overseeing the end‑to‑end pricing process, from price setting and approval workflows to implementation and monitoring.

Partnering with sales teams to maintain effective pricing controls, margin integrity, and alignment with business objectives.

Developing and managing pricing frameworks, policies, and tools to support data‑driven decision-making and operational efficiency.

Key Requirements

Extensive experience in a similar role is required, preferably at a Med Tech company where you have gained experience of NHS Procurement and tender processes.

Excellent initiative and ability to act proactively to queries and instructions with the emphasis on delivering excellent customer service.

You are very organized, with the ability to work on and lead multiple projects within tight timelines.

Consistent track record of defining and executing key analysis with minimal supervision.

Excellent communicator, in writing and verbally.

Good working knowledge of data analysis and reporting.

Strong administrative skills incorporating planning and organisational skills.

Knowledge of SAP would also be beneficial.
