Back Office Assistant – Sales Team (Stansted, UK)

We are seeking a Back Office Assistant to join our Sales team based in Stansted (UK), assisting all Area Sales Managers for handling orders, ensuring accurate pricing, timing, and other details.

Accountability & Objectives

Backoffice Assistant provides essential administrative and operational support to the salesmen, ensuring smooth execution of sales processes, order management, and customer communication. This role is crucial in maintaining accurate documentation, coordinating internal departments, and improving efficiency in managing accounts.

Key Responsibilities
  • Support regional sales managers across the UK, handling orders and ensuring accuracy in pricing, quantities, and delivery schedules.
  • Process customer orders in the system and coordinate with logistics to ensure timely shipments.
  • Monitor stock availability and communicate with supply chain teams to avoid shortages.
Customer Support & Coordination
  • Act as a liaison between customers and internal teams (logistics, finance, and sales).
  • Provide order status updates and resolve basic customer inquiries related to deliveries, product availability and support, using product knowledge to support alternative machines when required.
  • Assist in managing customer claims, returns, and credit notes in coordination with relevant departments.
Administrative & Backoffice Support
  • Ensure accurate documentation of contracts, agreements, and promotional activities.
  • Coordinate with finance on invoice management, payment tracking, and credit control.
Skills & Qualifications
Experience
  • Minimum 2 years of experience in sales support or back-office roles.
Qualifications
  • GCSE in Mathematics and English is required.
  • A university degree is a plus.
Knowledge
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and ERP/CRM systems.
  • Knowledge of order processing and inventory management systems.
Languages
  • English mother tongue.
  • An additional language is a plus.
