About the Role

Virtual Administration Ltd is seeking a highly experienced Virtual Personal Assistant to support a niche group of private healthcare professionals, including occupational therapists, case managers, and neuropsychologists. This is a remote, freelance role ideal for someone with strong administrative skills, excellent communication, and a passion for supporting healthcare clients.

Key Responsibilities
  • Manage email and phone enquiries on behalf of clients
  • Take and transcribe minutes from Zoom meetings (live and recorded)
  • Proofread and format complex reports and documents
  • Create and manage Excel spreadsheets with filters and formulas
  • Organize events and meetings
  • Generate invoices using online software
  • Use bespoke patient record systems
  • Handle audio transcription and general admin tasks
Required Skills & Experience
  • Minimum 3 years PA experience at director level
  • Strong written and verbal English (grammar, punctuation, proofreading)
  • Excellent organizational and multitasking abilities
  • Proficiency in Microsoft Office, especially Outlook and Excel
  • Experience with QuickBooks and CRM tools is a plus
  • Confident, empathetic communicator with a calm, professional demeanor
  • Able to work independently and manage multiple priorities
Technical & Legal Requirements
  • UK residency and right to work
  • Own computer, printer, scanner, and reliable internet
  • Desktop version of Microsoft Outlook
  • Cybersecurity measures in place
  • Understanding of UK GDPR and patient confidentiality
  • Work from home with flexible hours
