Job Description

Thank you for your interest in Charcoalblue.

We are seeking a highly organised and approachable Studio Administrator to join our Bristol studio. The role supports the administrative needs of all staff affiliated to the studio and works in close collaboration with local leadership, management across all Business Units (EMEA Theatre Consultancy, Acoustics and CBX), and the global Studio team. You will manage the day‑to‑day running of the studio, ensuring spaces are welcoming to employees and clients.

The Studio Administrator is pivotal in supporting a distributed working model while keeping all team members affiliated with a geographic and physical studio.

Reporting to the Studios Manager, you will receive role‑specific induction, ongoing training and professional development.

Key Responsibilities
  • Support all studio team members, including travel logistics, accommodation booking and facilities management.
  • Serve as first point of contact for all studio-related enquiries, answering phone calls and directing them appropriately.
  • Ensure operational consistency and legal compliance: manage leases, insurances, business continuity documents, health & safety, fire safety, studio risk assessments and relevant policies.
  • Coordinate global travel agency administration to support the global travel policy.
  • Attend and minute key meetings, aid in report compilation and attend presentations/training as required.
  • Collaborate with other Studios, Business Support Team Managers, Associate Directors and Directors to improve administrative processes in line with ISO:9001.
  • Act as contact for studio Health & Safety, Fire Safety, Business Continuity compliance tasks.
  • Support studio reconfigurations, relocations, and delivery of BST administrative tasks.
  • Coordinate essential facilities services (security, cleaning, waste disposal).
  • Assist with onboarding new joiners, off‑boarding leavers, finance coordination on purchase orders and staff expenses.
  • Prepare bid documentation and organise new work materials and research support.
  • Ensure maintenance and utility contracts are up to date.
  • Record and update local studio administrative data.
  • Support IT requirements and collaborate with Business Units on studio‑related matters.
  • Update the local Studio Administrator’s Handbook.
  • Assist with workload spikes, deliver ad‑hoc duties, and promote an inclusive culture.
  • Champion Charcoalblue cultural values, including Diversity, Equality and Inclusion initiatives.

Qualifications and Key Skills
  • Experience in an administrative or similar role supporting a small to mid‑size office (10+ employees).
  • Proficiency with Microsoft Office, Adobe Acrobat, Bluebeam, Google Suite and, optionally, InDesign or Photoshop.
  • High attention to detail, ability to meet demanding deadlines and manage variable workloads.
  • Excellent communication skills, team orientation, and experience in an international environment is beneficial.
  • Strong literacy and accuracy for written work.
  • A creative interest in live performance, digital media, architecture, design or visual arts is encouraged.
Salary

£28,000 – £32,000 (depending on experience).

Working Hours and Location

Based in the Bristol studio, Monday‑Friday. Occasional work‑from‑home days and site visits may be required.

Three‑month probationary period. Must be based in the UK and travel to UK studios as needed.

Take‑What‑You‑Need (TWYN) Leave

Unlimited leave days (minimum 20 days plus statutory Bank Holidays). Additional 4‑5 discretionary days around Christmas/New Year. All requests follow policy guidelines.
