Our valued clients expect prompt, consistent and high-quality service from us. Our crews cannot perform maintenance and installation work on their properties without properly functioning and safe equipment. As we have grown over the past three decades, we have acquired a large fleet of various types of mowers, heavy equipment, 1-ton dump trucks, assorted trucks, vans, cars, trailers, flatbeds, power equipment, hand tools, etc. Our success in the field is directly dependent on the efforts and applied skills of our Fleet and Facilities Management team.

What Do You Need to be a Fleet and Facilities Manager or Shop Assistant?

We are looking for a self-motivated and reliable team member who is eager to grow with us. Our facility includes a three-bay heated garage with an increasing fleet of vehicles, small construction equipment, and various gas and battery-operated landscape equipment.

Individual responsibilities will be determined based on skill set. However, we are a team, and all team members may be required to assist with other tasks as needed and all employees are expected to carry out the company’s mission, vision, and values. This position is intended to be a full-time, year-round role. However, for the right candidate, there may be an opportunity for a part-time role as well.

Ideal candidate must work well with others, have a “team first” personality, and be able to complete a wide range of the duties listed below. Responsibilities can change daily based on routine maintenance schedules, time-sensitive repairs, significant weather events, or specialized projects.

• Perform regularly scheduled preventative maintenance of vehicles and equipment .
• Keep accurate records in our specialized software for proper tracking .
• Repairs to small engine equipment, including mowers, blowers, trimmers, skid steers, etc.
• Ensure proper safety guidelines and regulations are continuously followed and all vehicles are DOT compliant.
• Routine maintenance and repairs around the facility.
• Maintain a clean and organized shop and yard.
• Must be responsive and flexible to equipment issues or breakdowns the field crews may encounter.
• Check shop fuel tanks daily and refill when needed.
• Snowplow operation, maintenance and repair experience a plus.
• Must be able to work odd hours and in adverse conditions when crews are out completing snow removal.
• Schedule may require evening work to complete repairs when equipment and vehicles are not being used.

POSITION REQUIREMENTS:

A valid state-issued driver’s license, the ability to legally work in the U.S., and be 18+ years of age are mandatory.

• Valid drivers license and acceptable driving record to meet our insurance requirements .
• Expert knowledge of mechanical and electrical systems used in the maintenance and repair ofabove listed vehiclesand equipment.
• Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
• Prior experience using industry-specific customer management software (knowledge of Aspire CRM a strong plus)
• Green industry experiencepreferred

While a majority of work will be inside our three-bay shop, it really helps to appreciate the outdoors as you may be tasked with assisting crews during all weather conditions if needed. You may also be called to supplement our field workers with their tasks depending on demands and workload.

Attention to detail, positive attitude, willingness to learn, and the ability to make on-the-fly decisions regarding the safety of yourself, your team, client property, and equipment during daily tasks is critical. Additional state-issued licenses and certifications may be required depending on the types of equipment and/or vehicles that enter our fleet.

Significant experience with diesel, two and four-stroke gasoline engines (from small to large) is necessary to be considered for Fleet and Facilities Manager. You should also be well-versed with tire repairs, replacement, balancing procedures, and be able to plan and implement appropriate regular maintenance schedules in conjunction with other shop employees. Welding and metal fabrication skill is important as we prefer to complete the majority of work “in-house”. What Does a Fleet and Facilities Manager and Shop Assistant do on a Daily Basis?

Our ideal shop team member will deal with a variety of tasks relating to the maintenance and repair of our current inventory of tools and equipment. They will also be responsible for upkeep and condition of the shop and outside yard. Some housekeeping and cleaning of equipment, tools, facilities, and trash/recycling is to be expected during the course of your day. Shop team members will also be responsible for purchase and/or delivery of equipment, tools, vehicles, plant materials, or parts to outside vendors, client properties, or other locations as needed. All positions within our company require knowledge and experience with technology beyond the tools they require to complete their core tasks. Shop team members will be expected to utilize computers (Windows-based PC’s) as well as other devices (to include iPads/tablets) to record completed tasks, assist with planning and company-wide strategy development during the off-season, communicate with fellow staff members, prepare and submit reports, etc. Experience (or willingness/ability to learn) with software such as our industry-specific Aspire, Microsoft Outlook, Word, and Excel will ensure a smooth experience.

What is the Difference Between a Fleet and Facilities Manager and a Shop Assistant?

A Fleet and Facilities Manager is the contact for our shop and facilities and will perform almost any sort of repair or maintenance that our tools, power-equipment, vehicles, and facility may need. Our ideal Fleet and Facilities Manager will be in a working capacity alongside other YardScapes employees but will have to delegate responsibilities to others (commensurate to their skill levels) to ensure efficient repair and maintenance of any given item. During the late-fall/winter seasons s/he will have many of our year-round field staff on hand to assist with switching our four-wheel-drive fleet from landscaping configuration to snow removal readiness. Our Fleet and Facilities Manager will also work closely with Operations Management to ensure our safety culture and accountability is enforced both on company grounds and in the field. In the spirit of growth and self/professional development, our Fleet and Facilities Manager must be willing and able to expand and improve their own skills by obtaining licenses/certifications to operate or repair equipment as necessary.

A Shop Assistant is expected to be a technical expert on the repair and maintenance of our tools/equipment, vehicles, and minor facility repairs or improvements. While not a direct supervisory role, a shop assistant does have a great level of responsibility to ensure our crews have well maintained and properly working tools to perform their jobs. S/he may also be expected to occasionally delegate tasks to field staff during large scale maintenance, fleet-upgrade, seasonal changeover, or other projects as needed. The shop assistant will engage with other employees using Windows PC’s, iPads, and other devices to record notes of repair/maintenance needs, input data, and maintain the appearance of the shop and the facility as a whole. Our ideal shop assistant should be willing to expand their skills and knowledge by obtaining additional licenses and certifications necessary to operate and repair equipment as needs arise.
