Role title: SEN Administrator
Reports to: Head of SEN
Location: 5 Gerald Road, Salford, M6 6DW
Hours: 8.30AM – 4.00PM, term-time role
Salary: £22,700 (already pro-rated)

Purpose of the Role3>

The SEN Administrator will provide efficient and proactive administrative support to the SENDCo’s and the wider SEND team. You will play a key role in ensuring that statutory processes and internal systems are completed accurately and on time, contributing to the smooth running of the department and positive outcomes for pupils with SEND.

Key Responsibilities
  • Facilitate annual reviews of EHCPs, including preparing and collating reports, arranging meetings, taking minutes, and submitting documentation to the Local Authority within statutory deadlines.
  • Manage incoming EHCP consults and referrals — replying, organising visits, and maintaining accurate digital and paper records.
  • Coordinate consultation processes, including data management, site or home visit scheduling, and transition meetings.
  • Complete referrals to external agencies under the direction of the SENDCo’s.
  • Oversee Access Arrangements — maintain databases, collect evidence and consent forms, and input information into exam systems.
  • Manage diaries, arrange meetings, and ensure the SEND team’s calendar is kept up to date.
  • Maintain an accurate database of SEND contacts across Local Authorities and partner agencies.
  • Keep the Additional Needs Register up to date and accurate.
  • Coordinate transport applications and appeals with Local Authorities and parents.
  • Maintain individual provision maps and pen portraits in collaboration with the SENDCo’s.
  • Attend meetings and represent the SEND team where required, with support from the SENDCo’s.
  • Collate SEND information from previous placements and ensure accurate uploads to school systems.
  • Record SEND and pastoral interventions on SIMS, ensuring EHCPs and supporting documentation are accurately stored.
  • Log all correspondence and telephone calls on SIMS.
  • Support transition and post-16 processes by collating and sharing SEND information with pathway providers.
  • Facilitate visits from external professionals, ensuring required documentation is prepared.
  • Support the review and updating of SEND policies and administrative systems.
