Job overview

Research and Development is seeking a highly professional, comprehensive, and confidential Administrator to provide exceptional support to the Research Governance team in delivering safe, compliant and well‑managed research across the Trust. The role is central to maintaining accurate and up‑to‑date records for a wide portfolio of research studies, ensuring that key information, performance metrics and regulatory updates are collated, checked and recorded in a timely way.

Working as part of a busy office, you will manage a varied workload including maintaining electronic study files and databases, chasing and coordinating updates from research teams, preparing routine performance reports and responding to enquiries from internal and external stakeholders. The role requires excellent attention to detail, strong IT and data skills, and the ability to handle sensitive and confidential information with professionalism at all times while contributing positively to the wider R&D team.

Main duties of the job
  • Maintain accurate electronic study files and research databases, ensuring timely entry, checking and updating of research study information.
  • Collate, monitor and report research performance metrics and KPIs, chasing outstanding information from research teams and stakeholders.
  • Manage a busy inbox and enquiries, drafting clear, professional communications and resolving or escalating complex queries appropriately.
  • Plan and prioritise a varied workload, working independently and as part of the Research Governance team to meet tight deadlines.
  • Use strong IT and data skills (particularly Excel and databases), excellent attention to detail, and confident written and verbal communication to support safe and efficient research governance.

Qualifications
  • Educated to NVQ Level 4 (or equivalent) in Business Administration, Information Management, or a closely related discipline
  • GCP certificate
  • Formal training in data management, databases or information governance
Experience
  • Significant experience providing high quality administrative support in a busy office environment
  • Proven experience of providing administrative support to senior members of staff and managing competing demands
  • Strong administrative management skills including demonstrable effective communication, team working and experience inputting data
  • Demonstrable experience managing and maintaining complex datasets or databases (for example research, clinical, or performance data) with a high degree of accuracy
  • Experience working with performance metrics, KPIs or similar reporting requirements, including chasing updates and producing routine reports
  • Experience working in a healthcare or higher education setting
  • Experience working in a research governance, clinical research, or NHS research office environment
  • Experience using research management systems (e.g. EDGE or similar)
Knowledge
  • Working knowledge of data protection, confidentiality and document control in the context of handling research information
  • Good understanding of how administrative processes and data quality underpin organisational performance reporting
  • Practical knowledge of how to prioritise and organise own workload to meet multiple deadlines without close supervision
  • Awareness of Good Clinical Practice, Research Governance Framework and NHS research study set up processes
  • Understanding of the role of NIHR, HRA and other research stakeholders in NHS research performance monitoring
Skills
  • Advanced IT skills in Microsoft Office, particularly Excel and Word, with proven ability to manage data and produce clear tables / reports
  • High level of accuracy and attention to detail in data entry and document management, including maintaining electronic filing systems
