Job description

Location: Liverpool

Duration: Full-time, 2-year fixed term appointment

An exciting opportunity has arisen for a proactive and highly organised Programme Co‑ordinator to join the newly established Programme Management Resource Centre (PMRC) within LSTM’s Research Services Department. The PMRC is a two‑year pilot initiative designed to provide flexible, centralised support for programme management and bid development across LSTM.

As Programme Co‑ordinator, you will support research teams and programmes across multiple departments, providing high‑quality programme coordination, administrative support, and contribution to bid development. Working closely with the Senior Programme Manager and Programme Manager, you will also help build the PMRC’s tools, resources and visibility during its pilot phase.

Key Responsibilities (but not limited to):
  • Provide programme coordination support to research teams, including managing workplans, tracking activities, preparing funder reports, and maintaining documentation, records, and audit‑ready compliance materials.
  • Coordinate meetings, workshops, travel and hospitality arrangements for UK and overseas trips, acting as the main point of contact for itineraries, logistics, documentation, insurance, and follow‑up actions.
  • Support financial coordination by monitoring project budgets, liaising with Finance, undertaking procurement, raising purchase orders, processing invoices, and ensuring alignment with funder and institutional procedures.
  • Liaise with collaborators and partners across institutions and countries, ensuring timely communication and effective information flow.
  • Support the preparation and submission of research funding applications, coordinating internal workflows, formatting and reviewing documentation, organising meetings, and liaising with Pre‑Award, Finance, and Contracts teams.
  • Contribute to the PMRC’s development by supporting engagement activities, helping maintain online resources and templates, and collecting data and metrics to support evaluation of the pilot phase.
You will possess:
  • Educated to A-level or equivalent qualification.
  • Experience coordinating projects or programmes in a research, academic, or complex organisational setting.
  • Strong organisational and time‑management skills, with the ability to prioritise effectively and meet deadlines.
  • Excellent attention to detail in document preparation, data handling, and formatting.
  • Competence using Microsoft Office applications and electronic document management systems.
  • Clear, professional written and verbal communication skills, and the ability to build effective working relationships.
  • A proactive, flexible, and solution‑focused approach, with experience handling confidential information.
