Full Description: Founded in 2013 BAAS is an award winning grassroots charity based in Bolton supporting autistic adults and their families.
As Secretary your role is to support the Chair and other Trustees by ensuring the Board functions smoothly. You will liaise with the Chair, and other members of the Board, to plan, arrange and produce agendas and supporting papers for Trustee and AGM meetings and for drafting the subsequent minutes.
You should be a well organised individual and able to maintain accurate records. The Secretary is the Board’s point of contact with its members, in line with the direction given by the Board and its Chair.
In addition to the general role of Trustee, you will be required to also:-
Support the charity by having a passion for improving the lives of autistic adults and their families
Make all arrangements for meetings, eg, room booking, sending online meeting invitations, arranging for the use of any equipment if required
Receive agenda items from other Trustees and staff
Check that a quorum is present for all meetings
Take minutes and circulate draft minutes to all Trustees
Ensure that minutes are signed by the Chair once they have been approved
Check that Trustees and staff have carried out actions agreed at a previous meeting
Circulate minutes and agendas of the AGM and any special or extraordinary general meetings (where required)
Write letters/emails on behalf of the Board and it’s Chair (where required)
Maintain up to date records of names, addresses and contact details of Committee members in line with GDPR.
Board meetings are held quarterly and the Secretary to the Board can expect to spend a maximum of 8 hours on pre and post-meeting administration for each quartlery meeting.
