The role

The P&A Coordinator role is to ensure that both the stock file and physical locations in the P&A warehouse are as accurate as possible. Stock holding kanban’s are maintained ensuring stock is readily available for customer orders. The job holder should have a pro‑active, friendly demeanour with energy, drive, determination and be keen to progress within a rapidly growing company. They should also be comfortable using Excel to manage data and working as part of a team.

Main duties
Goods in / stock levels
  • Maintaining and maximising stock availability in the warehouse based on forecasts provided by the Picking Coordinator and Planning teams.
  • Ordering all required parts from Stores to ensure we have the components required to build the finished goods.
  • Overseeing and being responsible for the Goods in Function including procedures, process, and accuracy.
  • Ensuring the prompt and efficient receipt of goods, including checks of Part identification, Quality and Quantity of goods received.
  • Investigating, reporting and resolving any delivery discrepancies.
  • Ensuring components (B‑parts) and finished goods (Q‑parts) are made available and stored in the correct location ready for picking/stock building activities.
  • Ensuring all stock moves are completed correctly within Infor CSI and that the system matches the physical location and quantities.
  • Monitoring stock levels and placing requests with unit 1 to maximise stock availability.
Stock Building Prep
  • Planning and overseeing the picking of components for the stock building team to maintain Kanban levels of Finished goods (Q‑parts).
  • Completing Job orders and printing required stock labels for finished goods.
  • Ensuring all job orders are completed to the most recent Bill of Materials (BOM) and reporting any BOM discrepancies.
  • Ensuring finished goods are labelled and located correctly.
Order/Transfer Prep
  • Working with the Picking Coordinator to ensure stock is requested & built in time for large orders that cannot be completed from Kanban/on‑shelf stock alone.
  • Providing regular updates to the Picking Coordinator and Warehouse Manager on the progress of these orders.
  • Resolving any issues in a timely manner to achieve shipping deadlines.
Stock File Maintenance
  • Taking responsibility for the accuracy of the P&A stock file.
  • Completing daily stock checks of bulk locations (QPA‑STOCK, QPA‑RECIPT) to ensure that stock moves have been completed correctly.
  • Completing daily checks for negative stocks and investigating any issues and resolving them.
  • Planning and coordinating weekly cycle counts of top 10 SKU by volume and value.
  • Planning and coordinating rolling stock takes, managing and archiving related data, reporting and resolving discrepancies with the Warehouse Manager and Inventory Manager.
  • Investigating and reporting any stock discrepancies found or reported.
  • Working with the Warehouse Manager and Inventory Manager to arrange cycle counts and stock adjustments for known discrepancies. These should be logged, and a weekly communication sent.
  • Day‑to‑day troubleshooting / problem solving.
  • Representing P&A in stock control meetings, including daily updates with other departments via Teams and a weekly update with Managers and Directors.
  • Taking a lead role during annual stocktakes assisting with the preparation and planning, as well as liaising with internal and external auditors.
Health and Safety
  • Promoting a culture of continuous improvement, ensuring all employees contribute towards the success of the Company.
  • Ensuring Health and Safety standards are followed, and reporting any accidents or near misses.
  • Ensuring stores are always secure and that only authorised personnel are admitted.
  • Attending supervision, training, and meetings as and when required.
Other
  • Organisation of the stock locations to best support the picking and stock building processes.
  • Any other jobs around the factory that may be deemed necessary by the Warehouse Manager, including, but not limited to, Stock Building, Pick & Pack and supporting other departments.
Essential: Skills and Experience
  • Complying with all aspects of Health and Safety standards, along with a high understanding of diversity in the workplace.
  • Using own initiative and having a proactive approach to tasks.
  • Being highly organised with excellent attention to detail.
  • Having good knowledge of Excel to manage, understand and provide data.
  • Being able to manage and motivate people.
  • Experience with a warehouse management system would be beneficial.
