Imaging Business Administrative Apprentice

Job overview

To learn new administrative tasks throughout the Imaging Care Unit and support colleagues throughout the department to ensure an efficient delivery of administrative services.

Main duties of the job
  • To maintain confidentiality of information pertaining to patients, staff and other health service business in accordance with the Caldicott guidelines, Data Protection Act and all other relevant legislation and local policy.
  • To actively participate in the staff appraisal process.
  • To be familiar with relevant Operational, Personnel, Health and Safety Policies and procedures, including Fire, COSHH, No Smoking and Alcohol.

Detailed job description and main responsibilities

Check stationery supplies and liaise with department Care Unit Administrator to ensure adequate levels are maintained.

Collect medical records from the Medical Records Library, distribute appropriately. Use the Trust’s Care flow system to track appropriately.

Collate and process the reports for Dexa patients.

Promote and maintain good working relationships with other members of staff and departments to ensure the efficient and smooth running of the service.

Document accurate staff sickness information from the staff absence line and process accordingly.

Run a report to ensure paper referrals are reported and posted timely.

Book and manage the meeting room for members of staff in accordance with the room availability.

Update staff files ensuring filing is kept up to date as well as creating personal files for new starters.

Any other administrative duties that may reasonably be requested by the Care Unit Administrator/Imaging Managers and Leads.
