Recruitment Business Partner at United Trust Bank

Role Purpose

This role oversees and coordinates all property and facilities-related activities throughout the bank's premises. The Facilities and Property Senior Co‑ordinator acts as the primary point of contact for all matters relating to the office environment, ensuring that all sites are safe, compliant, well‑maintained, and fit for purpose. Working closely with both internal stakeholders and external partners (including landlords, contractors, and service providers), the role supports the smooth running of day‑to‑day office operations.

Key Responsibilities

Facilities & Operational Support

  • Support the day-to-day running of UTB Offices, ensuring a safe, comfortable, and well-maintained environment for our colleagues.
  • Coordinate planned and reactive maintenance, working with service partners to make sure jobs are completed to a high standard.
  • Carry out regular space checks and walk‑arounds, reporting any issues and following up to make sure they’re resolved.
  • Help schedule refresh works for office and communal areas to keep the spaces looking their best.
  • Assist in small‑scale projects and support larger upgrades to ensure smooth delivery.
  • Maintain accurate records, reports, and compliance documentation.
  • Support energy efficiency and sustainability goals by gathering data and assisting with reporting.
  • Act as the Responsible Person for H&S roles that require such a nominated individual, managing H&S Workstation Audits.
  • Security – to ensure physical security of the premises; protecting the assets and business of the Bank. Undertake testing, manage the Security Control system, and monitor and report any security breaches or issues.
  • Ensure facilities and services are efficiently delivered, minimising negative, or distracting, impact upon the bank’s operations.
  • Act as part of, and manage, Fire Marshal and First Aid processes.
  • Management of furniture and environment.
  • Supervision of office consumables; stationery/toners etc.
  • Provide cover for team members should the need arise.
  • Act as the interface to/with IT for their Project work that needs Facilities input.

Compliance & Financial Management

  • Assist with compliance monitoring across health, safety, and statutory requirements.
  • Help review contractor quotes and compare against agreed schedules.
  • Support the preparation of budgets and financial tracking for facilities projects.
  • Assist in planning lifecycle replacement works.
  • Identify and suggest opportunities for improvements in how we manage and deliver facilities services.
  • Support the team in adopting new technology, processes, or practices that improve efficiency or service.
  • Contribute to emergency planning and resilience processes. Support Disaster Recovery/Business Continuity plans and arrangements to ensure that the Bank has effective and tested office-related DR and BCP in place.
  • Act as an environmental and recycling champion.

Skills and Experience

  • Prior experience in leading the service delivery ideally within an in‑house multi‑tenanted office environment.
  • Strong knowledge of building systems, maintenance practices, and health and safety regulations.
  • Demonstrated ability to manage contractors and service providers.
  • Strong leadership and team management skills.
  • Excellent communication, interpersonal, and negotiation skills.
  • Proven ability to manage budgets and deliver results.
