Title: OTB UK & NORDICS Facility Coordinator
Reports to: OTB Retail Senior Facility Manager (based in Italy)
Based: Diesel office, London
Job purpose: Manage the Facilities function efficiently and provide professional support to all OTB employees in a cost‑effective and timely manner across OTB legal entities for the UK & NORDICS region. Promote a positive image aligned with our brand values and manage the maintenance and cleaning of all OTB sites—including buildings, stores, concessions, and other locations—responding to urgent maintenance issues and reporting deficiencies.
Key Responsibilities and Accountabilities
Back‑office Activities
- Maintenance agreement management
- Budget monitoring and participation in new budget processes
- Weekly retail manager meetings
- Regular meetings with suppliers to review service provision
- Ensure maintenance compliance with local regulations
- Process anomalies with the HSE department
- Shop strip‑out processes
- Participate in project phases with store planning and opening processes
- Scorecard supplier checking and reporting
- CCTV authorization and GDPR compliance management
- Coordinate PPM, callout, and cleaning services on all OTB buildings (hos, warehouses, stores, outlets, and departments)
- Collect data for the annual sustainability report (waste, energy, water consumption, etc.)
- Manage local energy utilities, including meter opening/closing, consumption control, cost reporting, and contract collaboration
- Promote sustainability and efficiency projects
- PO processing, supplier record process, routing slip form process, utility management, and car fleet process monitoring
- New supplier scouting
Maintenance Platform Activities
- Work order management on the maintenance platform
- Schedule and manage interventions with priority according to SLA
- Monitor reports post‑intervention and manage PPM reporting
- Manage callout reporting
Archiving Activities
- Catalog documents into the shared archive and maintain it
- Retrieve documents from internal departments and external suppliers
- Create and maintain an asset database for each store
On‑site Activities
- Checklist of maintenance, cleaning, and security
- Logbook checking and monitoring
- Meetings with suppliers and landlords
Security
- Manage PPM security systems (CCTV, intruder alarm, EAS, alarm monitor service)
- Identify and address security needs with other departments
- Manage code and access processes for alarm and CCTV systems in compliance with local law and GDPR
- Scorecard security supplier checking and reporting
Working Relationships & Communication
- Build strong relationships with retail departments, H&S, procurement, operations, finance, and legal teams
- Ensure prompt action and communication with key stakeholders
- Communicate confidently, concisely, and clearly in verbal and written form
- Adopt a ‘happy to help’ attitude and manage expectations politely
- Act in accordance with OTB values and foster internal and external relationships

Skills & Capabilities
- Bachelor’s or master’s degree in engineering or other technical subjects
- Ability to multi‑task in a fast‑paced environment
- Proficiency in Microsoft Office; AutoCAD experience is an advantage
- Strong problem‑solving, time‑management, and organizational skills
- Fluent English; Italian speaking is an advantage but not mandatory
