Facilities Co-ordinator Role

We’re looking for a Facilities Co-ordinator to help keep our sites safe, compliant, and running smoothly. If you love variety, organisation, problem-solving, and being the friendly go-to person who makes things happen behind the scenes, this could be the perfect fit for you.

What You’ll Do
  • Coordinate planned and reactive maintenance (PPM & reactive works)
  • Act as the first point of contact for contractors visiting site
  • Track and report key compliance tasks (fire safety, water hygiene, electrical testing, etc.)
  • Manage FM helpdesk/CAFM requests and allocate tasks appropriately
  • Support asset management, stock monitoring, and equipment records
  • Assist with RAMS checks, permits to work, and site health & safety activity
  • Provide on-site support for audits, inspections, and minor works
  • Keep documentation accurate and up to date across all FM systems
  • Liaise with site teams to ensure maintenance issues are resolved quickly and professionally
  • Support sustainability initiatives such as waste reduction and energy efficiency
  • Assist with emergency response (e.g., water leaks, outages)
  • Provide admin and coordination support for wider Estates & FM projects, including PO raising and scheduling
What You’ll Bring
  • Basic Health & Safety certification (IOSH Working Safely or Managing Safely)
  • Confident IT user, proficient in Microsoft Office
  • Strong organisational and admin skills
  • Excellent communication and customer service abilities
  • Ability to multitask and prioritise in a dynamic environment
  • A full clean UK Driving Licence

What You’ll Be Part Of

You\'ll play a key role in supporting;

  • Operational continuity across site (including weekly FOH cover)
  • Statutory compliance monitoring for fire alarms, emergency lighting, water hygiene and more
  • Effective delivery of minor works and maintenance activities
  • Accurate use of CAFM and helpdesk systems
  • Health & safety inspections and incident reporting
  • Stock management, asset tagging, and lifecycle tracking
  • Contractor inductions, RAMS reviews, and permits
  • Sustainability improvements across the estate
  • Emergency response coordination
  • Larger estates and FM projects, from data gathering to communication
