Job Description

The Estates Project Team is a support team that sits alongside our Estates Team. It is a relatively new team, and it needs to be flexible and adapt to changes within the Company and across the wider industry.

The Estates Project Team’s main functions are to provide project management for large and complex projects across the Premier Estates portfolio, to assist with Client or development-specific tasks and to assist with and oversee progress relating to buildings where defective external wall systems require remediation. Where possible, the team will also provide Estates Coordinator cover when members of the regional team are absent or on leave.

This role provides support to the Estates Project Manager, Senior Estates Project Manager, and Head of Estates Project Management, and will engage with Estates Coordinators, Estates Managers, Senior Estates Managers, and Associate Directors, both within Regional Operations and London Operations.

  • Provide administrative support to the Estates Project Team (EPT)
  • Support the Estates Project Team (EPT) with a wide range of administrative tasks as the role continues to develop
  • Maintain and update the Project Tracker, ensuring actions are clearly captured and communicated to the wider team
  • Manage the shared EPT inbox and provide cover for other team inboxes during periods of annual leave
  • Schedule and organise project briefing meetings
  • Assist in preparing tender documentation and obtaining quotations, carrying out initial checks to confirm alignment with specifications before presenting for final review
  • Liaise proactively with contractors and internal estates colleagues by phone and email to support project progress
  • Raise works orders for new and ongoing projects
  • Obtain RAMS from contractors and ensure all required documentation is in place
  • Notify insurers of upcoming works when necessary
  • Arrange and coordinate pre-start meetings
  • Record snagging items and support their resolution once projects reach completion
  • Prepare correspondence for mail merges to update leaseholders on project progress
  • Provide regular project updates to the Estates Management teams
  • Build and maintain effective working relationships with Estate Management teams for the duration of each project
  • Assist with monthly reporting to Homes England where necessary
  • Assist in developing training schedules for new members of the Estates Team
  • Review and refine processes owned by the role to improve efficiency and effectiveness
  • Carry out additional tasks as required to support the wider success of Premier Estates

What We Ask From You:

  • English and Maths GCSE level 4 (grade C) or above
  • Experience in providing administrative support within a busy team environment
  • Microsoft Office, basic
  • Strong organisational and time-management skills, with the ability to balance multiple tasks and deadlines
  • Excellent written and verbal communication skills
  • High attention to detail, ensuring accuracy in documentation, tracking, and reporting
  • Confident in building positive working relationships across teams and with external contractors
  • Proactive approach to problem-solving and progressing tasks with minimal supervision
  • Able to work well independently and as part of a team
  • Flexible and adaptable, with the ability to support a developing team and evolving processes
  • Professional and approachable, able to represent the team positively
  • Reliable and self-motivated, demonstrating initiative and ownership of tasks

  • Membership of the Institute of Residential Property Management (IRPM) at Affiliate or Associate level (AIRPM)
  • Formal Qualifications in project administration, construction or a related field
  • Experience working in property management, construction, facilities management, or a similar sector
  • Experience preparing tender packs, obtaining quotations, or supporting procurement tasks
