Job description

Job Title: Office Manager

Location: HM Naval Base, Portsmouth (HMNBP)

Service Area: Business Management

Hours of Work: 37 Per week

Salary: £32,000 – 40,000

What You’ll be doing

As the Office Manager at KBS Maritime you will play a pivotal role in providing comprehensive support to both the Managing Director (MD) and Leadership Team, this will include activities such as diary management, board meeting coordination, minute taking and action tracking, as well as organising offsite meetings.

You will support with planning and delivering company events – from leadership off sites to team and company socials – handling everything from venues and logistics, to on the day coordination.

Keeping the day to day of the site running smoothly from effective management of resources ensuring all necessary equipment, supplies and technology are available and functioning for the business including; ensuring PPE is stocked and ready for new starters and visitors, managing vendor relationships and supporting ad hoc requests as they arise across the business.

You’ll Have

You’ll have proven experience in an Office Manager, Executive Assistant or Senior Administrative role, having supported Senior Leadership and MD level is important. You will have confidence in liaising with senior stakeholders, external partners and suppliers with professionalism – a calm, proactive approach in a fast-paced environment. You will naturally be a strong and clear communicator.

About you

Due to the nature of the role, you will have excellent organisation skills, high attention to detail and the ability to handle confidential information sensitively – along with strong diary and inbox management skills, with the ability to juggle multiple priorities and anticipate needs before they arise.

You will be proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and have the ability to pick up new systems quickly.
