Contract Administrator - Billing and Invoicing

Base Pay Range

Equans is looking for a Contract Administrator to join the Billing & Invoicing team based in Bellshill on a permanent basis. This is a full‑time role, working 40 hours per week, with an annual salary of £27,108 and a comprehensive benefits package.

Responsibilities
  • Process PPM, reactive and quoted works (WIP) for invoicing in a timely manner.
  • Enter and verify engineer’s timesheets and job reports with the support of Contract Managers.
  • Process purchase card receipts and code them to an online banking system.
  • Calculate and verify overtime hours for monthly payroll submission.
  • Collaborate with Contract Managers & Supervisors to investigate and resolve invoicing queries, escalating issues to Management when necessary.
  • Generate invoices and issue them to customers via agreed channels such as email and customer CAFM systems, on a monthly basis.
  • Continuously update accounting and customer CAFM systems with accurate information and ensure supporting evidence is available.
  • Follow up with appropriate parties for missing subcontractor and engineer reports, supplier invoices, and other supporting information.
  • Process contractual requests—including renewals, terminations, and variations—ensuring correct forms are submitted.
  • Carry out general administrative duties in line with departmental policies and procedures.
  • Undertake any ‘ad‑hoc’ duties as directed by the Management team that align with the role.

Qualifications
  • Previous experience within administration – essential.
  • Prior experience of CAFM systems (SAP, Coupa & Planon) – advantageous but not essential.
  • Good knowledge of Microsoft applications, especially Excel – essential.
  • Health & safety awareness – essential.
  • Understanding of purchase‑to‑pay process – desirable.
  • Basic Disclosure & Security (DS) check – required; ability to pass is essential.
