Are you an organised and motivated individual looking to work in a hybrid role supporting both administration and helpdesk teams? If you have solid admin experience and are ready to learn helpdesk duties, we want to hear from you.
This role is primarily focused on providing key administrative support to the Billable Works (BW) team, managing trackers for each site, running reports including Maximo reports, and ensuring data accuracy. Alongside this, you will also assist the Helpdesk and Scheduling Coordinator teams during the week by answering calls related to maintenance, housing, or site queries, and raising tickets for engineers to attend to issues across Defence bases.
This is a hybrid position with flexibility to work from home but requires you to be based primarily at either the Croughton or Fairford sites, with occasional days working remotely.
In your administrative capacity, you will be responsible for managing billable works trackers for multiple sites, maintaining and updating data, and running both standard and Maximo reports. Your attention to detail will ensure the smooth operation of project and maintenance records.
When supporting the Helpdesk Coordinator teams, you will answer inbound calls, respond promptly to requests concerning maintenance or housing issues, and accurately log service tickets to ensure engineers are deployed effectively. Full helpdesk training will be provided.
Compliance with MOD and VIVO standards, including maintaining security clearance (SC Clearance required), is essential. High attention to detail and a careful approach are critical to the role.
You will have proven administrative experience and be confident using Microsoft Excel and other Microsoft Office applications. Previous helpdesk experience is not required as full training will be given, but a willingness to learn and develop in this area is essential. SC Clearance is mandatory for this role.
You will be someone who thrives working across both administrative and operational support functions, enjoys multitasking, and values being part of a collaborative team supporting a vital defence service.
If you are organised, motivated, and eager to develop your skills in both administration and helpdesk coordination, apply now to join VIVO Defence Services and make a difference every day.
