Job Purpose

The Administrator & Communications Officer is the first point of contact for all referrals and enquiries to Yorkshire and Humberside Asbestos Support Group (SARAG). You will deal professionally, compassionately and sensitively with a wide range of individuals, including service users, families, referring agencies, medical professionals, supporters and colleagues.

You will provide comprehensive administrative and communications support to the Charity’s services, enabling the team to operate effectively and efficiently. The role plays an important part in promoting the work of SARAG, raising awareness of asbestos-related conditions, and supporting positive relationships with professionals and partners.

The post holder will work closely with the Advice Team and the Activity and Support Team, contributing to both service delivery and the Charity’s external profile. High standards of organisation, accuracy and communication are essential.

Tasks and Responsibilities
Administration and Service Support
  • Act as a key point of contact for referrals and enquiries, responding sensitively and professionally to service users, families, medical professionals, referring agencies, supporters and colleagues.
  • Provide general administrative support across the organisation, including minute taking, filing, correspondence, receiving and distributing post, travel arrangements, and event and venue bookings.
  • Provide administrative support to the Advice Team and the Activity and Support Team, including processing referrals, preparing materials, and contacting families and professionals as required.
  • Accurately enter referrals, work histories and related information onto the database.
  • Send out resources and information on behalf of the Advice Team and Activity and Support Team.
  • Collate feedback forms and support monitoring and evaluation activity.
  • Monitor and maintain appropriate levels of stock and office supplies.
  • Provide photocopying, filing and general administrative duties as required.
Communications and Promotion
  • Support the promotion of SARAG’s work, services and events through social media, the website and other communication channels.
  • Update and maintain website content to ensure information about services, events and support is accurate and up to date.
  • Lead the creation, preparation, and distribution of newsletters, promotional materials, and electronic mail-outs.
  • Maintain and update social media platforms in line with agreed messaging and values.
  • Develop and support the sensitive and ethical use of service user stories within communications activity, working with colleagues to help raise awareness and understanding of asbestos-related conditions and the charity.
  • Liaise with medical professionals and external stakeholders to promote awareness of SARAG’s services.
  • Maintain and regularly update a database of professional contacts, including hospitals, clinics and allied health professionals.
  • Support the development and maintenance of positive working relationships with professionals and partner organisations to encourage referrals and collaboration.
  • Assist with outreach activities, including meetings, events, exhibitions and information sessions as required.
Governance, Events and Team Support
  • Assist the Head of Service and Charity Development and Trustees with the preparation and delivery of Board meetings, including preparation of documentation, liaising with Board members and minute taking.
  • Work with the Head of Service, Advice Team and Activity and Support Team to support the planning and delivery of events and activities.
  • Attend occasional events and exhibitions, including some outside normal office hours.
  • Carry out any other duties appropriate to the role, as agreed with the line manager.

Pay and Working Hours

£17.35 per hour (£31,577 per annum)
