Job description

Reporting to the Accounting Lead, the Assistant Accountant will be principally involved in providing support in the area of machine inventory to ensure the accurate recognition and reporting of machine inventory in Westrac’s inhouse inventory management system DBS and Westrac’s ERP (SAP) including providing support to financial reconciliation processes.

The role will be responsible for delivering a detailed review of transactions within WesTrac’s ERP system (SAP) and inhouse inventory management system (DBS) and ensuring these transactions are recorded properly within both systems. The role will also entail engagement with sales admin team members to review and validate machine related transactions (additions, disposals, movements, etc) to support analysis of closing inventory balances quantity and valuation to ensure SAP correctly reflects the actual carrying valueTypeface of machine inventory.

Location: South Guildford, WA

Roster: Monday – Friday, 8 hours - 12 month (fixed term with potential to go permanent)

What You’ll Do
  • Stakeholder Relationship Management – Develop and maintain effective working relationships with internal and external stakeholders to ensure accurate and timely management of machine inventory and associated financial account balances. Act as the primary point of contact for queries, updates, and escalations related to inventory data and reconciliation issues.
  • Month‑End Reconciliation – Machine Inventory Account Balances – Lead the month‑end reconciliation process for machine inventory and related accounts, ensuring all transactions are accurately recorded and discrepancies are identified and resolved. Collaborate with relevant departments to validate data integrity and ensure compliance with financial reporting standards.
  • Data Analysis & Reporting – DBS vs SAP – Produce comprehensive month‑end and mid‑month analytical reports to compare and reconcile data between the DBS source system and SAP. Investigate and resolve variances proactively, providing insights and recommendations to improve data accuracy and operational efficiency.
  • Help Desk Query Resolution – Appalachian manage and resolve Help Desk queries related to machine inventory and financial data. Ensure timely and effective communication with stakeholders, track issues to resolution, and identify recurring problems to support continuous improvement initiatives.
  • Process Documentation & Maintenance – Maintain up‑to‑date documentation for all month‑end and ad‑hoc processes and procedures. Ensure documentation is clear, comprehensive, and accessible to relevant stakeholders, supporting consistency, training, and audit readiness.
Experience and Knowledge
  • Bachelor’s degree within Accountancy or equivalent business‑related degree
  • Demonstrated ability to logically problem‑solve differences between multiple (high volume) source systems
  • Advanced computer literacy skills
  • Excellent communication skills (written, verbal and interpersonal), including consultation, negotiation and facilitation skills to effectively liaise with both internal and external stakeholders
  • Ability to manage multiple priorities to meet objectives
  • Ability to work successfully within a team and autonomously
