Service Administrator vacancy - Harlow

We are looking for a Service Administrator to join the busy Service department at Gates of Harlow.

We are seeking a highly organised and customer‑focused Service Administrator to join our busy Service Department. This role is essential in ensuring the smooth running of daily operations, supporting both customers and the service team, and maintaining accurate administrative records. You will have the capacity to prioritise your own work load and complete all tasks set to the company standards.

Objectives
  • To produce an accurate invoice/claim to allow prompt payment.
  • To provide effective day‑to‑day workshop administration from job card to invoice.
  • To ensure all job packs meet the manufacturer’s Warranty/R&M standard.
  • To encompass a supportive role within general aftersales activities.
Key Responsibilities
  • Provide administrative support to the Service Manager and service team.
  • Manage job cards, service documentation, and warranty paperwork.
  • Ensure WIP is monitored daily.
  • Make appointments for customers via telephone and email.
  • Update and maintain the dealership management system (DMS) with accurate information.
  • Handle customer enquiries politely and professionally, both in person and over the phone.
  • Assist in invoicing, payment processing, and maintaining service records.
  • Ensure compliance with internal procedures and manufacturer standards.
  • Have excellent communication skills and the professionalism to work closely with the all team members.
  • A background in administration is desirable, although not essential.Strong organisational skills with excellent attention to detail.
  • Confident communicator with a positive, customer‑focused attitude.
  • Ability to work under pressure and prioritise tasks effectively.
  • Comfortable using computer systems and learning new software.
