About the role
The HR Apprentice provides essential administrative support to the HR team, focusing on the new‑hire onboarding process. This fast‑paced, 18‑month fixed‑term contract requires excellent communication, strong organisational skills, and exceptional attention to detail.
Day‑to‑Day Responsibilities
- Play an important role in delivering a positive and efficient New Hire Experience.
- Administer the onboarding process, ensuring all new hire paperwork and requirements are completed accurately and on time.
- Maintain and update employee data within UKG Pro and UKG Ready, ensuring accuracy, data integrity, and compliance with company policies and procedures.
- Complete right‑to‑work checks using the First Advantage portal.
- Manage system administration tasks, including setting up new hires in SharePoint and supporting the allocation of employee numbers.
- Work with global HR teams to standardise and streamline processes to ensure accuracy and consistency across regions.
- Create, organise, and maintain personnel files in line with internal processes and data protection requirements.
- Provide administrative support for employee recognition schemes.
- Create and send employee documentation including offers and contracts.
- Manage the HR & Payroll inbox, ensuring emails are routed appropriately and responded to within 48 hours.
- Document HR processes for Standard Operating Procedures (SOPs) and ensure they are kept up to date.
- Maintain the HR SharePoint site with up‑to‑date information and policies.
- Process and track the Employee Referral Bonus Programme.
- Carry out other administrative duties as required.
- Perform additional tasks, responsibilities, and projects as needed to support the team and organisation, ensuring flexibility in adapting to evolving priorities and objectives.
Training and Development
- You will be enrolled in a recognised HR apprenticeship programme – Level 3 HR Support, delivered by an approved training provider. This will include workshops, online learning, professional development modules, and regular progress reviews.
- Your apprenticeship training will support you in working towards a CIPD qualification, helping you develop your understanding of HR principles, employment law, employee relations, and HR best practice.
- You will gain hands‑on experience across the full employee lifecycle, including onboarding, HR systems, data administration, and employee engagement processes.
- You will receive ongoing support from the HR team, who will provide guidance, coaching, and opportunities to observe and contribute to a variety of HR activities.
- The apprenticeship will help you develop essential workplace skills, including communication, problem‑solving, stakeholder management, time management, and confidence in handling HR queries.
- Full training will be provided in HR systems including UKG Pro, UKG Ready, SharePoint, and any other platforms used within the team.

Nice‑To‑Haves
- Ideally 1–2 years administrative experience (helpful but not essential for an apprenticeship).
- Strong PC skills and proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
