Description of Role

As ERP Coordinator, you will support our ERP system, ensuring it supports project delivery, scheduling, finance, and people processes across our international business.

Working closely with the Director of Operations, key stakeholders and business unit leadership, and our Business Support teams, you will coordinate ERP activity, promote user adoption, and help ensure data quality and reporting for all users and team members within our regions.

The role requires excellent planning and communication skills, strong system and data fluency, and a collaborative approach to problem solving. You’ll work across multiple functions, translating technical concepts into accessible information and enabling continuous improvement through user support and system-driven processes.

You will report to the Director of Operations. You will have the chance to meet regularly with your line manager to ensure you are fully supported in your role, and we will provide role‑specific inductions and ongoing training to help you succeed.

Key Responsibilities

User Support and Engagement

  • Primary point of contact for first‑line support for system queries, responding clearly and confidently to questions across all levels of the organisation.
  • Promote user accountability by encouraging team members to take ownership of their system inputs and outputs.
  • Create and maintain clear step‑by‑step guides and process documentation for ERP workflows, so users know exactly how to complete tasks consistently and correctly.
  • Coordinate system training sessions in collaboration with our Training and Development team, and develop user guidance that supports different learning styles.

Business Process and Data Integration

  • Work with stakeholders to improve existing workflows and ensure ERP processes reflect Charcoalblue’s operating model.
  • Monitor ERP performance and proactively identify opportunities for automation and integration with other business tools (e.g., CRM, HRIS).
  • Assist with ERP upgrade projects, including testing new releases.
  • Support accurate data import/export activities and liaise with teams to ensure consistency across our systems.
  • Help identify process gaps and inefficiencies and suggest scalable improvements; undertake periodic reviews to ensure that project datasets are complete.
  • Support data integrity through periodic audits and partner with stakeholders to identify improvements in usability and integration of both the ERP and our HR Information System.

Reporting and Insight

  • Assist with designing and maintaining dashboards and reports that provide visibility of project, resourcing, and financial performance.
  • Partner with key users to ensure data integrity and that insights are accessible and actionable.
  • Use initiative to interpret patterns and raise observations that support better decision‑making.

System Administration and Governance

  • Manage user permissions and system configurations, maintaining up‑to‑date records and audit trails.
  • Help ensure ERP data and workflows meet internal process standards and contribute to ISO:9001 compliance.
  • Support internal reviews and data quality checks to uphold high operational standards.
  • Configure new starters based on information received from the Deltek Talent platform.
  • Provide support for our HR Information System, Deltek Talent, troubleshooting issues and collaborating with the People team to resolve queries and maintain smooth workflows.
  • Configure and maintain Talent system settings, ensuring alignment with HR processes and integration with Vantagepoint, while upholding taxonomy and data consistency.

Qualifications and Key Skills
  • Minimum 1 year of experience coordinating or supporting ERP systems, ideally Deltek Vantagepoint.
  • Experience working across different functions and time zones in a supportive, facilitative role.
  • Digital and systems literacy, including experience with data cleansing, configuration, and documentation.
  • Clear and adaptable communicator, able to explain systems and processes in plain language.
  • Able to analyse trends and proactively propose improvements.
  • Strong collaboration and communication skills, fostering teamwork across regions.
  • Proactive problem‑solving and adaptability in a fast‑paced environment.

The salary range for this role is £32,500 - £42,500 per annum for a 40‑hour week. Please state your salary expectations in your application in line with your experience. Charcoalblue intends to offer the selected candidate base pay within this range, dependent on job‑related, non‑discriminatory factors such as experience. Base pay is one part of the total rewards that Charcoalblue provides to compensate and recognise employees for their work. This role is being offered as a permanent, full‑time role.

Our standard full‑time working week is 40 hours, flexible between 8am and 8pm Monday‑Friday, plus an hour per day (unpaid) for lunch, with an understanding that flexible working hours will apply to meet our clients’ needs and to accommodate the company’s global time zones. Charcoalblue does not provide for the payment of overtime. The nature of the job and the Partnership’s business could occasionally entail some work outside normal working hours.

There is a three‑month probationary period for permanent roles.

We are currently working in a hybrid working model, meaning you will work from your home, or other place of your choosing, with regular working hours at one of our UK studios (London or Bristol). Additionally, some site visits and project meetings may be in person, as required.

We will provide you with the necessary IT hardware and software to enable you to carry out your role successfully in line with your duties.

Please note, the successful applicant must be based in the UK to effectively meet the current needs of our work and local team, and you should be able and willing to travel to external meetings and our UK studio/s regularly as required, with notice.

Take‑What‑You‑Need (TWYN) Leave Team members have no ‘cap’ on the number of days they wish to take in any one year. This means you can plan holiday or vacation time or request time when you need it, without the worry of running out of leave days. TWYN leave requests must follow policy guidelines and team members are encouraged to use a minimum of 20 days of annual minimum per annum (prorated in the first year and also prorated in a part‑time position), plus statutory Bank Holidays. Charcoalblue traditionally closes its studios between Christmas and New Year’s Day, resulting in an additional 4‑5 discretionary paid vacation days each year.
