Overview
Copley Hospital, located in Morrisville/Stowe VT, is in search of a Unit Coordinator to join our team. The Unit Coordinator will provide clerical support to the patient care area to ensure effective and efficient services are delivered. Compliance with all applicable State and Federal laws, regulations, and policies governing the provision of health care.
Position details
This is a Part-Time position (FT available), including one 12-hour day shift and one 12-hour night shift weekly. Copley Hospital has a variety of shifts available across Full-Time, Part-Time, and Temporary needs. Compensation is negotiable. An offer of employment may vary based on factors such as experience, education, skill, internal equity, and market data.
Responsibilities
- Fill out and submit correct patient forms to the appropriate ancillary department.
- Handle all telephone calls in a customer-friendly manner.
- Identify forms that belong in the patient chart. Maintain the proper order and quantity of forms in the patient chart. Thin the chart correctly. Turn the chart correctly and in a timely manner when discharged.
- Interact with visitors, coworkers and other departments in a customer-friendly manner.
- Maintain all information in the identified computer system.
- Maintain identified patient records while the patient is admitted to the patient care area.
- Perform all tasks associated with maintaining patient census.
- Place calls to schedule treatments and procedures as ordered. Sign off orders after transcribing all orders.
- Print census reports as needed. Enter transfers and discharges in the computer accurately and in a timely manner.
- Provide assistance to individuals who may need directions and help finding resources in the patient care area.
- Transcribe physician orders as indicated.
- Schedule for Med/Surg and SCU (RNs, LNAs, & UC's). Gather requests off, prepare drafts for manager's approval, and post by due date. Prepare final schedule for manager's approval and post by due date. Work with per diem staff for efficient scheduling. Knowledge of nursing/hospital union contracts.
- Meet regularly with the Director of Units for staffing updates (FMLAs, FTE changes, new hires or terminations) that affect scheduling.
- Identify staffing problems with the Director and assist in finding appropriate solutions.
- Gather and compile statistical data necessary for the direct caregiver FTE report and submit to state.
- Create new forms as needed by director and staff.
- Perform audits and provide feedback to the director.
- Assist in new hire orientation to SCU.
- Answer the telephone using the standard greeting and identify the need of the caller. Take complete and accurate messages and ensure they are delivered to the appropriate person. Transfer calls as needed. Ensure coverage when the Unit Secretary is away.
- Identify forms and supply items needed in the patient care area. Set up an inventory list of supplies. Verify quantities and restock as needed. Prepare requisitions for replacement supplies and verify received items match orders.
- Acknowledge individuals entering the work area and identify ways to assist.
- Alert appropriate staff of patient arrivals and update patient boards to reflect arrivals, discharges, or transfers. Update census as needed.
- Create and maintain patient charts and transcribe physician orders accurately and timely.
- Establish and maintain floor inventory of identified forms and supplies.
- Display results and print date/list correctly. Order floor stock as needed.
- Enter and update patient information accurately and in a timely manner. Transfer and/or discharge patients correctly. Enter orders and charges correctly. Cancel orders and credits charges as appropriate.
Qualifications
- Post-high school education preferred.
- Experience with scheduling and unit coordinator duties; may substitute for educational requirements.
- Completion of a medical terminology course or willingness to train. Computer data entry experience or willingness to train.
