Job description
Position Summary

Under direct supervision, coordinates all activities and functions of a program to ensure that goals and objectives specified for the program are accomplished in accordance with established priorities, time limitations, funding limitations or other specifications.

Key responsibilities
  • Serves as the initial point of contact for the Critical Care administrative office. Assists a large group of Critical Care physicians with general administrative and technical support, including meeting setup, retrieval of office mail, paging updates, and troubleshooting printer and computer issues.
  • Provides administrative assistance to Senior Critical Care physicians, including calendar management, scheduling appointments, preparing travel arrangements, and recording meeting minutes.
  • Orders, prepares, and maintains supplies for general office, program, and service use.
  • Schedules Critical Care conferences, including booking rooms, ordering food, setting up conference materials, and tracking Division-wide attendance.
  • Answers, screens, and routes telephone calls, while greeting and directing visitors and staff.
  • Oversees the International Observership Program and visiting physician rotations by guiding observers through the application and acceptance processes, completing required HR and Occupational Health paperwork, coordinating orientation, and serving as the on-site contact during their MSICU rotation.
  • Assists the Critical Care Administrative team and management with additional projects and tasks as needed.
Minimum qualifications

Education:

  • Associate’s degree required. Bachelor’s preferred.

Experience:

  • 1 year of relevant experience
  • The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
  • The ability to work with diverse internal and external constituencies.
