We are looking for a Bid Management Assistant to be based preferably at our office in Frascati (Italy). We offer a hybrid working policy between home and office.
The position will be key to providing a professional and administrative service support to the Bid Management and Business Development Teams with regards to preparation of proposals.
The key person will work closely with the other members of the bid team along with other operational and commercial functions across the company’s international offices. The position reports to the Director of Sales and Proposal Management.
This position is open to protected categories under Italian Law 68/99 (“Rules for the right to work of disabled people”).

Tasks and activities
The scope of work will include:
- Supporting the overall bid preparation, by taking responsibility in producing support material for proposals in compliance with company highest quality and standards.
- Working with the Bid Management and Business Development Teams to ensure reviews are scheduled effectively and compliance with the company’s bid and sales processes.
- Ensuring timescales are achieved during the process, while taking the initiative in setting realistic deadlines.
- Organizing and participating in bid reviews to assess the bid’s progress.
- Supporting the Bid Management Team in organizing archives and libraries.
- Coordinating and circulating proposal related correspondence and feedback.
Skills and experience
The following skills and experience are mandatory:
- University Degree or equivalent in Telecommunication, Aerospace, Computer Science, Cybersecurity or a relevant field to the company’s main business line. Alternatively, at least 3 years of proven experience in an admin role, bid management, reporting and requirement management.
- Extensive experience in Microsoft Office suite.
- Time Management
- Organisational Management
- Ability to synthesize written content from diverse and concurrent sources.
- Attention to details, excellent proofreading/editing skills, writing skills, and verbal communication skills.
- Desire to work both autonomously and as part of a team, in an international multicultural environment.
- Solution oriented mindset, with a customer focused communication skill.
- Good level of English, both written and spoken.
The following skills and experience would be highly desirable:
- Other European languages.
- Experience in MS Teams, MS SharePoint, Salesforce.
- Working experience in / knowledge of the Space environment, preferably Earth Observation.
- ITIL certification.
- Background/experience in Sales and/or Legal.
