Part time role - 12 hours per week - 3 morning per week - 2 on the office, option for one remote day.

Our focus is on collaborating with clients to identify and implement low/zero carbon design and retrofits for non‑residential buildings, advancing sustainable energy practices, and implementing renewable energy solutions. We stand at the forefront of transforming the energy landscape in our community, reducing carbon emissions, and driving energy efficiency.

ROLE OVERVIEW

Tipperary Energy Agency is looking for a part‑time Office Co‑ordinator with flexible working arrangements for the Nenagh office to manage day‑to‑day administrative tasks and co‑ordinate logistics on long‑term administrative and operational projects.

Role Responsibilities
  • Monitor, prioritise and respond to inbound queries (mail, phone, and email) and manage office and building facilities, equipment and supplies on daily basis.
  • Oversee the preparation and quality control of project reports for national and European funders.
  • Coordinate with Senior Management and Operational teams to ensure relevant systems and processes are always kept current and relevant. Maintain and update the data in the HR Information System. Manage the relationship and activities with outsourced IT department on daily basis.
  • Induction of new starters and providing training on administrative procedures, project management, and internal processes. Health and Safety administration and assisting with Risk Assessment preparation.
  • Co‑ordination of calendars for EU projects and Board meetings.
  • Booking flights, travel and accommodation for staff and TEA partner organisations involved in EU projects or projects in Ireland where accommodation or transport booking assistance is required.
  • Management of IT hardware such as lap tops and mobile phones, planning and ordering replacements and renewals with the Finance and Operations Manager.

An excellent communicator with a professional demeanour and a can‑do attitude. Able to work as part of a busy team, flexible to work on your own initiative and take ownership of tasks and projects. You can easily establish positive and productive work relationships with people on all levels.

Required skills and experience
  • Previous relevant work experience and a proven track record in organisational ability and project management
  • Experience in establishing fostering good working relationships with internal and external stakeholders
  • Proficiency with MS Office suite (Word, Excel, MS Teams)
  • Fluent English
  • Eligible to work in Ireland
