We are looking for a highly organized, proactive, and strategic-minded Executive Partner to join the Phorest team and support our COO.
You will play a key role in driving operational efficiency, managing strategic initiatives, and ensuring the successful execution of projects across regions and supporting departments. You will work closely with the COO to coordinate priorities, streamline workflows, and keep projects on track.
This role is ideal for someone with a strong background in project management, excellent communication skills, and the ability to work independently while navigating fast-paced, dynamic environments with confidence and problem-solving finesse.
Partner with the COO to ensure strategic projects are executed effectively - on time, within scope, and within budget
Plan, track, and manage multiple cross-regional projects, maintaining timelines, schedules, and deliverables
Coordinate resources, meetings, and documentation to ensure seamless project execution and stakeholder alignment
Ensure best practices in project management are followed and drive continuous improvement in execution workflows
Conduct data gathering and analysis to support informed decision-making at the executive level
Prepare reports, presentations, and briefs for internal and external leadership audiences
Assist in crafting and tracking strategic and budgetary plans, providing progress updates and recommendations
Organise strategic planning sessions, ensuring stakeholder preparedness and material availability
Act as a liaison between the COO and other departments, aligning on priorities and facilitating effective collaboration
Support identification and resolution of operational bottlenecks and process inefficiencies
Promote interdepartmental information flow to enable project success and strong team cohesion
Drive initiatives that improve operational workflows and enhance organisational performance
Provide executive-level support to the COO including calendar management, meeting coordination, and agenda preparation
Organise travel, conferences, and events such as regional gatherings and clients events
Ensure the COO is consistently equipped with the necessary tools, information, and logistics for strategic engagements
5+ years of experience in project coordination, strategic operations, or executive assistance in fast-paced environments
Degree in Business Administration, Project Management, Operations, or a related field
Proven track record of managing cross-functional projects and driving measurable results, ideally within a SaaS or tech-focused environment
Proficient in project management tools (e.g., Asana, Trello, Monday.com)
Strong working knowledge of Google Workspace (Docs, Sheets, Slides)and familiarity with data analysis tools
Proactive and resourceful approach to taking ownership and solving challenges as they arise
Strong communication skills with the ability to engage confidently with executives, cross-functional teams, and external stakeholders
Adaptable mindset with the ability to shift priorities and remain effective in fast-changing environments
High attention to detail with a consistent focus on delivering accurate, high-quality work
Collaborative and dependable team player who contributes positively to group dynamics and shared goals
