Position: Agency Operations Manager

Role Description:

The Global Service Centre for Corporate Banking Services (CBS) with offices in Dublin and Utrecht, located within the COO Domain, is a department responsible for the provision of Back Office loan and agency administration services to Front Office business lines across multiple regions. It operates within a highly regulated, high value, high risk international business environment with an extremely low error tolerance, and high reputational and systemic responsibilities. The market in which it operates is international and dynamic with suppliers, staff and counterparties operating in different global time zones and cultures.

The Agency Operations Manager for Corporate Banking Services (CBS) is a member of the Extended CBS Leadership Team (ELT) and thus responsible for the development and implementation of short and long-term strategic plans toward achieving operational excellence and to increase Wholesale and Rural Operations service contribution to the Bank's overall strategy.

The role is to lead and guide the Agency Operations teams which performs back office processing and servicing for Asia and North America (and other branches as the servicing scope grows) ensuring that excellent client service is delivered and that all agreed targets are met or exceeded.

This further includes responsibility for ensuring team goals are aligned with, and contribute to the overall strategy of the bank. The purpose of the role is to ensure business alignment with Wholesale and Rural Front Office locations globally, and key internal stakeholders including Finance and Treasury, in order to add value to the total customer proposition of the Bank.

This role requires high levels of stakeholder management and strong influencing and negotiation skills.

The role holder is responsible for defining and monitoring agreed service standards (e.g. adherence to process standards and execution of operational routines) and ensuring action is taken where non adherence and / or improvement potential is identified.

All candidates for this role must have the Right to Work in Ireland - Be an EU Citizen or holder of a valid Stamp 4 Visa

Key Responsibilities and Tasks:

Service Delivery:

  • Accountable for the provision of high quality back office Agency administration services to Front Office business lines across multiple regions and act as the escalation point for Regional and Tribe Leadership teams.
  • Responsible for the achievement and reporting of agreed Key Performance Indicators and Key Control Indicators focused on performance metrics around quality, service and risk management
  • Responsible for ensuring a relentless focus on simplification and standardisation of operational processes across all teams through the application of ESSA principles while ensuring adherence to the defined target operating model and global standards.
  • Responsible for setting clear team goals that are aligned with and contribute to the overall strategy of the bank and ensures achievement through effective management.

Team Management and Development
  • Responsible for resource planning supported by the use of effective capacity management techniques and aligned with the agreed budget and headcount.
  • Responsible for ensuring that Agency Operations staff are appropriately skilled and being developed through a mix of on-the-job experience and training, facilitating career progression and meeting succession planning requirements.
  • Responsible for the provision of appropriate and timely expertise knowledge and resources to projects or initiatives ensuring quality of operating model design.
  • Responsible for the growth and sharing of corporate banking expertise across global locations
  • Responsible for the support of team members' well-being and the promotion of an appropriate work / life balance

Being 'In Control'
  • Accountable for the Risk culture within Agency Operations, ensuring that an 'integrated' level of risk management is in place and sustainable.
  • Accountable for assuring that procedures and risk controls are current and followed at all levels within Agency Operations
  • Responsible for the implementation and execution of compliance and operational First Line Monitoring activities
  • Responsible for Business Continuity planning for Agency Operations
  • Responsible for ensuring all mandatory training courses or Compliance requirements are completed by the due date

Stakeholder Management
  • Responsible for understanding key stakeholders and managing their requirements and expectations
  • Responsible for the driving of decision making within Agency Operations through engagement with the extended CBS LT, Middle Office and Tribe Leadership Teams
  • Responsible for the continuous promotion of a Service Culture across the team by leading by example

Technical
  • In-depth knowledge of Agency Operations processes
  • Practical experience using the Flexcube Core Banking and SWIFT systems
  • Business degree or equivalent
  • Minimum 10 years' experience in Banking with a particular emphasis on managing Agency Operations activities
  • Competent in MS Office
  • High level of numeric and written competence
  • Team leadership in a culture where customer focus and continuous improvement are paramount
  • Ability and experience in coaching and mentoring staff
  • Ability to lead and support Problem Solving activities focused on root cause analysis
