Job description

As a result of ongoing and continued effort to expand the Project & Commercial pillar, this architectural interior design consulting firm is currently seeking for a Project Manager to be based in our Jakarta office. Reporting to the Project Director, you will work closely with the project & commercial team as well as the interior design team in various construction developments of Interior Design (ID) Commercial Office Fit-out projects.

Your new role
In this business-critical role, you will be responsible for planning, managing, and overseeing the projects and its timelines including all interior fit-out and retrofitting works for the company aligned with the best practices. You will be heavily involved in preparing, manage project plans including timelines, key milestones, budget and resource requirements using tools such as Microsoft Project as well as monitoring daily site activities that includes co-ordination with contractors, sub-contractors and suppliers.

The following are areas of responsibility for Project Manager:

Project Planning

  • Prepare and manage programme and project plans, including timeliness, key milestones, budget and resources requirements.
  • Identify and engage key stakeholders, ensuring that expectations are known, managed and fulfilled within programme.
  • Define and implements project controls, ensuring effective management and transparency.
  • Ensure that risks and issues are identified and manages, in alignment with a define risk management methodology

Project Execution

  • Successfully deliver internal and external programme and projects in alignment with defined management methodologies and terms of contract.
  • Manage resources effectively and efficiently to ensure the budget and project plan objective are met.
  • Obtain best results in terms of performance & budget pricing from the contractors, consultants & vendors appointed for the projects under his/her management.
  • Work with department managers / designers to ensure that key programme and project objectives are delivered in alignment with plans as to ensure effective communication and resource utilization.
  • Ensure all contractual requirements are met, invoices are produced, and payment are received, working with the relevant account managers and finance.
  • Monitor site activities including co-ordination with contractors, sub-contractors, suppliers etc and attend site meetings whenever necessary and required.
  • Ensure all authority submissions are submitted on time and in accordance with locality requirements
  • Maintains safe, secure, and healthy work environment by following and enforcing standards and procedures; complying with legal regulations
  • Communicate site issues with client and relevant authorities effectively and provide analyst report on site progress
  • Ensure projects meet stipulated quality requirements by closely monitoring and supervising works of sub-contractors.
  • Manage changes to the project scope, project schedule, and project costs. Be aware of materials usage at site and wastage control.
  • Review construction drawings.
  • Prepare weekly site reports on the project.
  • Prepare and submit Request for Information (RFI) to consultants for any clarification.
  • Ensure the successful completion and documentation of all project from tendering to construction and post-construction phases, when assigned to do so

Project Reporting

  • Ensure that all communications are dealt with in a professional manner, with agreed time frames and are recorded within project records.
  • Fulfill project administrative requirements, by ensuring that all project management information is recorded and all client interactions are reported within the project records.

Project Closure

  • Endure all the administration and financial activities are completed upon project finalization.
  • Prepare and issuance of Operation and Maintenance Manual.
  • Ensure for zero defect within 2 weeks after Practical Completion of all projects under your management.

What you'll need to succeed

  • Degree / Diploma in Project/ Construction Management with at least 10 Years of experience in managing corporate interior design and build projects and construction
  • Well versed in Microsoft Office Application & Microsoft Project Knowledge in tender exercise, preparing of tender documents for private and government projects, standard work procedure
  • Must have experience in commercial office fit out projects.
  • Strong proficiency within the domains of on-site management and cost control.
  • Must be able to present project execution methodology to clients within the means of workplace health and safety in place.
  • Must be able to lead the project and quantity surveyors' team to achieve most competitive cost from vendors and contractors.
  • Proficiency in having a list of contractors and able to handle projects by breaking different trades
  • Ability to develop project plans, manage individual deadlines and goals.
  • Ability to identify issues and problems, generate solutions and choose appropriate alternatives using basic root cause analysis.
  • Manage project scope by assessing requirements changes, determining and conveying impact on budget, time and risk.
  • Manage client expectations, anticipates operational and tactical risks and tracks them.
