Job description

This advert is open to both Internal and External applicants.

An exciting opportunity has arisen within the Executive Support team to provide a confidential, efficient, and highly organized service supporting the team in managing the demands of the Cabinet and Senior Management Team.

We are seeking an experienced individual with a ‘can-do’ attitude who enjoys working as part of a team. The ideal candidate will be a confident communicator with good organizational skills, able to work accurately, use their own initiative to resolve problems, and assist with effective diary management for the Chief Executive.

Responsibilities include:

  • Assisting with effective diary management for the Chief Executive and Senior Management Team, ensuring conflicting demands are addressed.
  • Monitoring and chasing the timely processing of Freedom of Information requests, MP inquiries, complaints, EIRs, and quality checking responses to ensure corporate deadlines are met.
  • Arranging meetings with Councillors, MPs, staff, senior executives, government officials, private sector, and community sector organizations.
  • Booking rooms, equipment, and refreshments as required.
  • Logging and uploading all approved Chief Officer Decisions onto the CMS system to ensure a clear due diligence process.
  • Attending and minuting a range of internal and external meetings, providing accurate, high-quality minutes for distribution.
  • Maintaining and reviewing contact lists and databases to ensure contact information is current.
  • Providing full Executive Assistant cover for SMT and Cabinet Members in the absence of the Executive Assistant due to sickness or leave.
  • Assisting with email, letters, and reports, ensuring all correspondence is accurate, timely, of high quality, and reflects the authority’s commitment to plain English, often handling sensitive information.
  • Logging ward casework, coordinating, and quality checking responses to meet deadlines.
  • Booking travel and accommodation for the team, adhering to company guidelines.
