N-25-12 Finance and Administration Analyst

The International Potato Center (CIP) is seeking a dedicated and motivated Finance and Administration Analyst for our hosted organization, CIFOR-ICRAF, in the region.

About CIFOR-ICRAF: More than a research institute, it is a hub of the brightest minds working together to develop nature-based solutions for forested and tree-based landscapes. We collaborate with governments, academia, civil society, and the private sector to address five major global challenges: deforestation and biodiversity loss, the climate crisis, the transformation of unsustainable food systems, unsustainable value and supply chains, and extreme inequality.

About the role: The selected candidate will provide administrative and operational support to CIFOR and ICRAF operations in Latin America, including making payments to suppliers, managing purchasing processes, coordinating logistics for trips and field activities, and supporting daily office operations.

Key responsibilities:

  1. Support the finance and administration manager in the timely delivery of monthly financial reports, including system entry and registration of cash management, impress returns, consultancy contracts, staff requisitions, and other financial reports as per guidelines.
  2. Prepare local consultancy contracts in coordination with CIP HR and follow up to ensure schedules and payments are on time.
  3. Prepare international consultancy recruitment forms in coordination with the supervisor, budget holder, and Finance team to ensure available funds.
  4. Coordinate with CIFOR-ICRAF IT for creation of corporate email accounts for new staff and the assignment of electronic devices.
  5. Oversee CIFOR-ICRAF office equipment and publications inventory; ensure timely requisition of office supplies; monitor office and field equipment use.
  6. Provide logistical and administrative support to national and international staff, visiting scientists, and consultants, including managing calendars, meetings, events, and facilitating travel support.
  7. Assist with travel requests, including event registration, lodging, airfares, itineraries, visa requests, meeting coordination, fund advances, and expense claims.
  8. Support organization of events or workshops (invitations, bookings, catering, etc.).
  9. Maintain and update regional databases of contacts and partners; prepare internal and external communications and correspondence upon request.
  10. Manage incoming communications (emails, memos, letters) and follow up on pending tasks.
  11. Ensure compliance with health and safety policies of CIP and CIFOR-ICRAF.
Requirements

What are we looking for?

  • Bachelor’s degree in business administration, economics, accounting, or related field.
  • At least 2 years of professional experience in similar roles, preferably within international organizations or NGOs.
  • Knowledge of ERP-Unit 4 Business World – Agresso System (desirable).
  • Ability to handle complex situations and communicate effectively at all levels.
  • Strong organizational, planning, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Word, Outlook, Excel, and PowerPoint.
  • Proactive attitude and ability to work in virtual and multicultural environments.
  • Fluent in English, both written and verbal.
