HubSpot Administrator (m/f/d)

As our HubSpot Administrator, you will be responsible for the technical management and optimisation of our HubSpot CRM platform, ensuring it is configured for scalability, system integration, and data consistency across Moonfare’s operations. Your focus will be on backend architecture—including API integrations, data flows, and custom automations—while streamlining workflow processes and enabling seamless data exchange between HubSpot and other internal systems. With expertise in CRM systems architecture, SQL, and data integration best practices, you will maintain a highly efficient, secure, and scalable CRM environment.

Responsibilities
  • Own the HubSpot CRM system as an admin, managing coding, integrations, and advanced workflows
  • Manage CRM architecture, implementing scalable automations and integrations with internal systems
  • Create and maintain technical documentation, including system architecture, integration blueprints, and workflow processes
  • Conduct data audits, ensure data accuracy, and implement validation protocols across the CRM and connected systems
  • Develop and maintain reports, dashboards, and analytics tools to deliver actionable CRM insights
  • Serve as the primary contact for CRM troubleshooting, system upgrades, and enhancements
  • Create and enforce SOPs and technical playbooks to ensure consistent and optimised CRM usage

  • Minimum of 5 years of experience in CRM systems management, including at least 2 years as a HubSpot super admin
  • Expertise in CRM architecture, including workflow design, automation, and custom integrations with internal systems
  • Excellent verbal and written communication skills in English, with the ability to explain technical concepts to both technical and non-technical stakeholders
  • In-depth understanding of data models, data integrity principles, and GDPR compliance as they apply to CRM environments
  • Demonstrated success in partnering with cross-functional teams to define requirements and implement scalable CRM solutions
  • Proven ability to troubleshoot CRM systems, oversee upgrades, and implement ongoing system enhancements
  • Experienced in creating and maintaining technical documentation to standardise processes (e.g. SOPs, workflows, integrations)
  • Skilled in training teams on CRM best practices and supporting adoption across departments
