JOB PURPOSE

The School Procurement Officer will oversee the procurement of goods and services necessary for the school's operation, ensuring that all purchases are cost-effective, timely, and compliant with school policies.

Duties and responsibilities

  • Supervising stock control of stationery and class resources.
  • Identify and evaluate suppliers, negotiate contracts, and build effective supplier relationships.
  • Develop and implement procurement strategies that align with the school’s goals and budget.
  • Prepare and issue purchase orders, ensuring all specifications and requirements are met.
  • Processing of stationery and resource orders, raising order documentation, processing through JDE and to suppliers.
  • Conduct market research to stay informed about industry trends and pricing.
  • Managing order levels cost effectively.
  • Collect and/or deliver materials within the building if required.
  • Administering the overall school purchase process, including negotiation of costs with suppliers and effective budgeting.
  • Resolve procurement-related issues, including supplier disputes and delivery problems.
  • Collaborate with academic and administrative staff to understand and fulfil their procurement needs.
  • Managing overall teaching and administration procurement requirements from start to end.
  • Any other appropriate duties as directed by the Operations Manager.

Qualifications/Training

  • High school qualification.

Essential Experience / Knowledge

  • At least two years’ job related experience.
  • An effective user of ICT.
  • Able to prioritise tasks and use time effectively.
  • High attention to detail and ability to work to tight schedules.
  • Willing to work flexibly as required by business needs.
  • Excellent communication and interpersonal skills.

Skills

  • Intermediate knowledge of MS Office Word, Excel and Internet.
  • Ability to provide excellent customer service.
